Job Description:


Essential Duties & Responsibilities:


  • Negotiate pricing and contracts for procurement of equipment, furniture, leases, and office supplies.
  • Ensures invoices, purchase orders and agreements are processed in a timely fashion.
  • Ensures memberships, dues and licenses, and subscriptions are processed and paid in a timely fashion.
  • Monitors supplies and office equipment at Corporate Office, including Kitchen(Breakroom), Mail, Supply, and Conference rooms.
  • Manages vendor sites and updates account information as needed, including adding/removing users, addresses and other info.
  • Works with A/P to ensure timely processing of vendor obligations.
  • Conduct monthly vendor account reviews and coordinate cost saving initiatives.
  • Create and update Purchasing reports including Unpaid Invoices, Open PO's, Outstanding devices, and "one off" reports.
  • Assist in coordinating and performing business/department meetings.
  • Create expense detailed reports using Vanir's ERP (Deltek Vantagepoint).
  • Document Archiving and retention processes
  • Coordinate Project or Office Site-Start Up's/Close Out's, including research, cost projections, and estimations for the procurement of trailers, equipment, office furniture.
  • Request and procure COI's (Certificate of Insurance)
  • Assist in walkthroughs with Employees on Deltek Vstore login, approval, and creation of purchase requisitions.
  • Cross trained in AP functions, IT involvement (helpdesk tickets), Billing, AR, Facilities Management, Safety, Marketing, and Administration.
  • Processes and helps manage the Vstore (Purchase Requisitions) workflow such as submitting, notification, processing and approvals.
  • Read extensive vendor reports, analyze vendor data, reconstruct/clean vendor data to make strategic procurement decisions (Excel Modeling and Analysis).
  • Mobile Device Management including package delivery, app delivery, delivery/return of Mobile devices.
  • Assist in conducting research and gather quotes for IT equipment and Software prior to IT involvement.
  • Software Inventory and Management, including all company and employee renewals, purchases, and cancellations.
  • Run analytical/detailed reports for inventory management in excel on a monthly basis.
  • Assist IT in Mobile Device Troubleshooting, User Support, and Device Recycling/EOL (End of Life).
  • Tags and tracks fixed and controlled assets and updates information in inventory system.
  • Helps with Onboarding and Exiting employee duties, including retrieval of equipment and shipping of equipment.
  • Perform QA/QC and all Procured Items and Software.

Minimum Qualifications:


  • Administrative and clerical procedures and systems
  • Customer service experience
  • Knowledge in inventory management systems
  • Purchasing best practices
  • Negotiation and conflict resolution techniques
  • General knowledge of the construction industry as it relates to other levels of operation
  • Basic math, such as adding, subtracting, multiplying, dividing
  • Intermediate skill with MS Office Suite (Outlook, Excel, OneDrive and Word) and Adobe Acrobat
  • Deltek Vantagepoint experience preferred


Offered rate of compensation will be based on a variety of non-discriminatory factors, including education, qualifications, experience, and geographic location.

The hourly range for this position is $22-$25.
