Description

The Operations Support Specialist work closely with all the member of the WGA corporate team that Oversees the daily operations of a group of B-A Class of properties both in Texas and Florida.

The position will report to the Director of Operations.

The main responsibilities will encompass compliance with operational procedures, systems accesses for the entire portfolio, assist in updating policy and training manuals, including creating policies with the supervision from the Director of Operations and rollouts of any new programs.


The individual in this position must be capable of resolving and escalating issues arising from operations requiring coordination with other departments within the WGA organization.


The Operations Support Specialist will report to the Director of Operations but is also functionally accountable to the Director of Compliance and the CEO of WGA when it comes to procedures that affect WGA as a whole.

The Director of Operations is the accountable person for implementation of procedures with the help of The Operations Support Specialist.


Operations Support Specialist is in charge of insuring that all activities in WGA are conducted via written procedure in which teams have been trained and also evaluate effectiveness of implementation and provide reviews or changes to the Director of Operations or upper management.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

All these items below need to be done under the supervision and guidance from the Director of Operations.

  • Assist Director of Operations
  • Assist in updating policy and training manuals, including creating policies around any new programs or rollouts with the supervision from the Director of Operations.
  • Assist in implementing new programs, initiatives, and special projects, including evaluation, creating training materials, rollout training, followup, and ongoing program and material updates and maintenance.
  • Assist in all aspects of creating sitespecific audit and walk tools, leading audit and walk teams, coordination of onsite visits.
  • Assist in the collection and analysis of various operational data and provide accurate summary of findings.
  • Maintain relationships with operational vendors such as renter's insurance, screening, collections, appliance rental, answering service, etc.
  • Work with operational vendors for Resman integration and other technical programs regarding issues and problem resolution, reporting, program changes or updates, adding or removing properties, etc. for existing integrations and programs, as well as the setup and implementation of new integrations and programs.
  • Provide operational support to the operations team and other corporate departments.
  • Provide daily support regarding Resman integrations and other technical programs.
  • Work independently and within a team on special nonrecurring and ongoing projects.
  • Perform special assignments as directed.
  • Responsible for all PO, invoices, and budget policies and checklists review for accuracy.
  • Responsible for assisting onsite teams with the daytoday policies and SOP implementation on site with the Director of Operations assistance.
  • Responsible for supporting the team with Resman correction and accuracy like ledgers.
  • Responsible for resolution of issues within Resman for the entire team
  • Checks FAS process for timely payment and accuracy for the entire portfolio.
  • Accountable for recommendation or changes required to have a consistent and accurate reporting process across all properties.
  • Vendor managementsetting up vendors in Resman, make sure vendors comply with legal paperwork, check agreed prices.
  • Employee engagement planning
  • Helping with social media integration and getting content from onsite members

SKILLS, ABILITIES, QUALIFICATIONS

  • University degree preferred.
  • Multifamily industry experience of 3 years minimum required
  • Advanced knowledge of MS Office, (i.e. Excel, Word, and PowerPoint).
  • Possess excellent writing and communication skills, including proper grammar and etiquette.
  • Extensive experience with Resman, onsite accounting processes and controls preferred.
  • Selfstarter.
  • Able to travel overnight as required, approximately 10%.
  • Ability to coordinate activities and meet deadlines.
  • Ability to collaborate with peers on training and support objectives.
  • Ability to analyze own work product to ensure high degree of accuracy in the final product.
  • Ability to work in a continuously evolving and fastpaced environment.
  • Detailoriented with excellent organizational and multitasking skills.
  • Must show initiative and flexibility.
  • Ability to speak effectively in interpersonal situations and in front of a group of employees.
  • Working knowledge of applicable local and federal housing laws.
  • Ability to communicate property management policies and procedures.
