Administrative Assistant / Stone Librarian

POSITION OVERVIEW:
We are seeking an experienced, professional, self-motivated, and enthusiastic Administrative Assistant / Stone Librarian for our Houston office.

The Stone Librarian is responsible for supporting the Sales Team by assisting with data entry, generating contracts, sending marketing requests (stone samples) to clients and prospects, managing the stone sample inventory, maintaining the client database, and other general administrative support.

Successful individuals will be organized, resourceful, and efficient with an ability to coordinate support for multiple individuals. This role requires a high level of attention to detail.


SCOPE & RESPONSIBILITIES:


  • Update / maintain records in Salesforce
  • Send out marketing materials, sample photos, etc.
  • Fulfill and track client sample requests
  • This includes selecting, photographing, packing, and shipping samples to clients
  • Maintain inventory records and reorder samples from vendors as necessary
  • General administrative support for multiple people

EXPERIENCE / SKILL SETS / INTANGIBLES REQUIRED:

  • Min. 5+ years of experience as an assistant
  • Highly proficient skill level in MS Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Internet savvy
  • Excellent written, oral, and interpersonal communication skills
  • Overall professionalism in dress, demeanor, language, and interaction with others
  • History of success in a fastpaced environment under tight deadlines with a high degree of accuracy, composure, and professionalism

OTHER REQUIREMENTS:


  • Must be able to work more than 8 hours / day when needed
  • Willingness to be responsive after hours (as needed), particularly when Sales Representatives are traveling, is required
  • Must be able to lift up to 30 lbs.
  • Accountable and take ownership of work
  • Able to prioritize and manage multiple tasks simultaneously
  • Excellent organizational and decisionmaking skills, with great attention to details

Pay:
$ $23.00 per hour

Expected hours: 40 per week
