Join our team as an Administrative Coordinator, where you'll play a pivotal role in ensuring the seamless operation of our executive functions and company-wide initiatives.

As the Administrative Coordinator, you will be responsible for a diverse array of tasks, ranging from coordinating meetings and company events to managing crucial administrative processes.

What You Will Do:
_**- **Coordinate Meetings & Events**:
  • Schedule, organize, and manage various meetings and events, such as All Hands Meetings, Company Advisory Board meetings, and other events.
  • Plan employee events in partnership with HR, including location research, vendor negotiation, and project management to coordinate within schedule and budget.

Ownership of All Hands Meetings:

  • Plan and execute monthly and semi-annual company-wide meetings, including setting agendas, coordinating prep meetings, preparing presentations, and ensuring smooth logistics on the day of the meeting.

Ownership of Advisory Board Communication & Meetings:

  • Facilitate communication and collaboration with the company's Advisory Board members.
  • Schedule Advisory Board meetings, including coordinating travel for our Advisory Board members, locating and booking the location and accommodations for the meetings, and preparing documents and presentation materials for the meetings.

Administrative Support:


  • Manage the distribution of quarterly performance reviews by creating goal templates and distributing them to managers for completion. Track the completion of quarterly performance reviews to ensure adherence to timelines.
  • Enroll employees in training sessions as required, ensuring timely participation and compliance with company policies.
  • Coordinate the distribution of company surveys and acknowledgments.
  • Maintain accurate employee files by downloading and organizing new hire documents, as well as other miscellaneous documents relevant to employee records.
  • Assist in other administrative tasks and projects as needed to support the HR department and overall organizational objectives.

Executive Support:


  • Assist with coordinating and deploying external client surveys.
  • Organizes and coordinates meetings and provides onsite and pre/post meeting support.
  • Source, curate and distribute client and advisory board gift packages.
  • Support President with calendar management.

Miscellaneous Tasks:


  • Other duties as assigned.

_ What You Need:
_


  • Bachelor's degree in Business Administration or related field preferred.
  • 57 years of experience in an officerelated environment, preferably in administrative roles.
  • Demonstrated ability to plan and execute events and large meetings.
  • Ability to work independently with mínimal supervision and influence others while collaborating effectively within a team.
  • Demonstrated assertiveness and initiative in taking ownership of tasks and driving them to completion.
  • Proficiency in Microsoft Office Suite, particularly Outlook, Word, and PowerPoint.
  • Strong organizational skills and the ability to manage multiple tasks efficiently, prioritizing based on importance and urgency, and meeting deadlines.

The salary range for this position is: $50,000.00-$75, Actual compensation within the range will be dependent upon the individual's skills, experience, education, qualifications, and applicable employment laws.
