Overview:

  • Manage group room reservations and inventory through effective administration and attention to detail to maximize room revenue and ensure complete guest and meeting professional satisfaction. Support and assist the Sales and Events team with administrative tasks, engage customer service to current and potential clients, and receive and qualify leads for Sales or Events Managers. You will also support the continuing effort to deliver distinctively different guest experiences and nurture lasting relationships with our customers.

Responsibilities:


  • Enter reservations as needed.
  • Review all contracts to ensure accuracy of rates, dates, billing, inventory, concessions and all miscellaneous information is accurate and concise.
  • Create and maintain group room blocks. Ensure all reservations have correct billing, and all other necessary information.
  • Attend weekly Group Pickup Meeting, monitor group pickup, communicating reservation due dates to clients on regular basis. Maintain and audit reservation due dates and room inventory for all groups.
  • Report any group pick up concerns to the Director of Revenue and Director of Sales.
  • Run group arrivals lists for future arrival dates, and noshow reports daily.
  • Check for duplicate reservations by calling all multiple same name reservations to ensure accuracy of guest names, and any special requests.
  • Check for group reservation errors and contact caller of the reservation or group to obtain and verify information.
  • Ensures that the correct group sales process is in place and complete and that accurate guest data is obtained.
  • Complete Group Commission Report, after group's departure.
  • Monitor room type availability daily to ensure group blocks are balanced.
  • Run all pertinent reports for groups such as rooming list and pick up and other ad hoc reports as requested.
  • Input and audit rooming lists for Individual on Own groups for booking accuracy, billing and notes.
  • Facilitate entry of rooming list for Rooming List groups 24 hours of receipt Monday through Friday during business hours.
  • Attends group preconventions meetings if required.
  • Work closely with Sales and Events team, providing support daily.
  • Direct inquiries to the correct Sales Manager, inputting information into the sales management software.
  • Main and award group earned World of Hyatt points.
  • Additional tasks as needed.
  • Strong verbal and written communication skills a must.
  • Previous reservations experience is preferred.
  • Knowledge of Microsoft Office, Excel, Word and Outlook preferred.
  • Previous experience with Envision preferred.
  • Previous experience with Opera PMS preferred.
  • Previous experience with Hyatt preferred.

Ideally, you have a reservations background and have worked in a hotel setting previously. You have superb organizational skills and attention to detail. You can communicate effectively and courteously over the telephone and in person.

Flexibility.

This is a demanding business, and it requires you to manage multiple priorities while meeting varying deadlines, but it's also a lot of fun Experience.

Previous experience passionately providing service to others and providing administrative support in a team-oriented environment, ensuring accuracy and attention to detail.

Providing amazing experiences requires the ability to communicate fluently in English both verbally and through excellent written communication.
