We are located on the beautiful barrier beach of Fire Island, where travel to work is by ferry and your commute is worry free as you enjoy the tranquil ride across the Great South Bay to Fire Island Pines, where we have a reputation for diversity and are welcoming of all.

Fire Island Pines is the largest residential community on Fire Island and includes some 600 homes and 100 co-ops. Our community has a population as high as 5,000 in the summer and about 50 in winter. Residents, renters, and guests all come here to enjoy, relax, and have fun.


With over 400 members, FIPPOA, a 501(c)(4) non-profit organization, is led by elected officers and a board of directors who oversee the operations of the community and help protect the fragile ecosystem of a barrier island.

Our other organization, The Pines Foundation (TPF), is a non-profit 501(c)(3) charity organization which raises critical funds for our local Pines programs and projects that make our community thrive, including our word famous annual event, the Pines Party.

In addition, TPF provides grants to our long-time beneficiaries - Stonewall Community Foundation and Seashore Defense Fund and manages our endowment.


Job Summary:


Duties:


  • Help provide administrative support to Community Manager
  • Assist with event planning and contract processing and document collection
  • Welcome guests and respond to inquiries professionally and in a timely manner
  • Answer phone, retrieve voice message and respond in a timely manner
  • Help with setting up, breaking down and working FIPPOA events
  • Maintain events calendar and update as needed
  • Provide preevent building walkthroughs with event planers
  • Help support CM with direct mail projects
  • Send out weekly digital community event calendar (CBB)
  • Process annual TOB permits for FIPPOA owned vehicles
  • Help sign up any new FIPPOA members
  • Process sand purchases
  • Update system database with any return mail
  • Help support CM with annual leases and document collection
  • Provide general support to board members where needed
  • Maintain staff apparel (keep track of inventory and assign distribution)
  • Schedule cleaning services for events
  • Post photos and/or content on our social media pages
  • Maintain inventory of office supplies and ordered as needed
  • Schedule meetings in Outlook and Zoom
  • Assist with data entry, filing, and document management
  • Other duties as assigned

Skills:


  • Strong data entry skills
  • Must be proficient with MS Word, Excel and Outlook
  • Ability to communicate accurately and effectively in verbal and written form
  • Ability to take initiative and work independently
  • Strong work ethic
  • Excellent organizational and time management skills
  • Ability to handle multiple projects simultaneously
  • Strong attention to detail
  • Excellent written and verbal communication skills
  • Strong problemsolving abilities
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Ability to perform light lifting and some outdoor work, if required

  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Must be able to work some summer weekend days (in exchange for day off during the week)
