    Registrar

    Coe College is seeking qualified candidates for the position of Registrar.

    The Registrar is a key leadership position in Academic Affairs and is responsible for leadership of staff and completion of all registration and graduation duties assigned by the Provost.

    This position will be a liaison between faculty, students and administration for the college, ensuring successful working relationships and full compliance with all federal and state regulation, and college policy.


    Essential Job Responsibilities:

    • Hire, lead and develop Registrar's Office staff
    • Oversee collecting, recording, maintaining and reporting of student records within FERPA guidelines, e.g., grades, registration data, transcripts, mid-term verification, final grades and other associated audit and compliance updates
    • Organize and administer the records, registration and graduation functions of the college, including but not limited to transcript evaluations, academic probation and suspension referrals, readmission, dean's lists and degree conferral, in order to provide maximum service to students while ensuring efficient and effective workflow
    • Act as the campus "academic policy gatekeeper", holding the campus community accountable for all academic policies
    • Train and serve as a crosscheck for the Director of Academic Data and Records during the general education audit process
    • Act as liaison between the Registrar's Office and department chairs, program directors and students to validate & track major, collateral major, minor and concentration audits
    • Supervise the coordination, evaluation and certification of all graduation applications, and diplomas
    • Validate the drafts, revisions and final listings of eligible students for the commencement program
    • Provide leadership and develop appropriate recommendations for the implementation of related technology applications in support of enhanced services offered by the Registrar's Office
    • Collaborate with administrators, deans, faculty, IT and counselors to facilitate and improve services to students, including catalog and registration/records policy questions
    • Represent Academic Affairs in IT and campus database systems
    • Develop and administer the departmental budget
    • Compile and share statistical reports such as: Date-of-Record, Iowa Enrollment Project, ACM, NCAA, etc.
    • Serve ex officio for Academic Policies Committee, Committee on Petitions, Committee on Academics, Persistence & Enrollment
    • Maintain knowledge of current industry trends and best practice to advise on behalf of the Registrar's Office on the Retention & Data Group and the Data Information & Security Stewardship Committee
    • Complete as well as disperse campus data requests, scrub data, enrollment reporting
    • Assist with catalog finalization and publication
    • Oversee the completion of college surveys (USWNR, Peterson's, etc.)
    • Problem-solve the research, analysis and resolution of student disputes as they relate to records and registration
    • Participate in enrollment management and retention (efforts/initiatives/execution)

    Qualifications:

    • Bachelor's degree required; Master's degree preferred
    • Three to five years of experience with registration in higher education administration, or relevant combination of education and experience
    • Knowledge and demonstrated use of an integrated data base system, Jenzabar preferred
    • Ability to interpret and implement federal regulations for certification and compliance including FERPA
    • Knowledge and experience with enrollment management
    • Successful completion of a background check in accordance with Coe College policy

    Position Specific:

    • Strong leadership skills to supervise a staff of 3, including the ability to develop staff and identify functions and implement processes for successful office operation
    • Ability to excel in a seasonally fast-paced environment, including the ability to prioritize, work independently with little direction, and meet office expectations while sustaining an engaged and positive atmosphere
    • Experience in conflict resolution desirable
    • Demonstrated problem solving and strategic thinking skills, used to operationalize student, faculty and administration services best practices, and to identify, design and implement change within the campus culture and existing operations
    • Knowledge of leading practices in catalog content and production, curriculum management, course scheduling, documentation of academic policy, and academic program management
    • Record of innovation and leadership in proposing and implementing new policies and systems desirable
    • Knowledge and understanding of student records data structures, data management, standardized reports, and extraction systems needed for a variety of internal and external constituencies, with a demonstrated strength for accuracy and attention to detail
    • Ability to communicate successfully with a campus community of students, faculty, staff, administrators, as well as parents and alumni

    Working Conditions and Physical Requirements:

    • General office environment with balance of email, phone and in person contact
