Job Description:


Overall responsibilities include but are not limited to:

  • Primary Patient check in:
  • Greets and confirms patient information/demographics, updates any primary care or referring providers, collect and copy insurance cards, collect copays/payments, providing any new/current patient consents, and managing prior authorization and referral requirements.
  • Primary Patient check out:
  • Scheduling follow up appointments, printing any prescription scripts and/or visit summary, scheduling any additional appts. needed (such as labs, radiology, imaging, etc.)
  • Answer telephones, screen calls, take messages, and provide information in accordance with established procedures.
  • Meet patient needs through a variety of methods including but not limited to
a. Answer incoming telephone calls and make outbound phone calls
b. Gathering information to route appropriately.

  • Maintains or initiates faxes.
  • Maintain desk and/or clinic supplies.
  • Maintains clean and inviting environment.
  • Sort and distribute mail.
  • Contribute to the smooth operation of practice by assisting with patient flow.
  • Schedule appointments via phone, in person or via electronic correspondence.
  • Preforms cancellations in system and reschedule appointments.
  • Manage electronic worklists.
  • Evaluate referrals and link to appropriate upcoming appointments.
  • Promote and assist patients.
  • Obtain and prep New Patient charts prior to arrival.
  • Research hospital systems for correct patient documentation.
(Labs, Imaging, Pathology, etc.)

  • Hear and direct complaints to Management from patients or the public.
  • Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided.
  • Maintain patient records by obtaining, recording, documenting, scanning, and updating information.
  • Travel to additional sites to assist with coverage.
  • Other duties as assigned.
  • Education/Experience
  • High School Diploma or Equivalent
  • 12 years of Medical Terminology and healthcare experience.
  • 1 year of Oncology experience, preferred.
  • Proficient with MS Office Suite, including Word, Excel, and Outlook.
  • Thorough knowledge of office equipment, including multiphone line, fax, copier, scanners, etc.
  • Excellent verbal communication, interpersonal, and telephone skills.
Essential qualities necessary include, but are not limited to:

  • Service-oriented with the ability to pay attention to details.
  • Detail oriented.
  • Ability to maintain cooperative working relationships with coworkers, other departments, and physicians within a team environment.
  • Ability to work independently, with little supervision.
  • Interfaces well with staff and physicians.
  • Professional demeanor.
  • Pleasant and friendly tone of voice.
