Purpose of the Role:
- To provide general office support with various clerical activities and related tasks. Administrative Assistants often serve as the face of the organization, so professionalism and a courteous demeanor are important. Maintaining confidentiality and handling sensitive information with discretion is crucial.
Essential Functions of the Role:
- Greet and sign all visitors in.
- Maintain employee sign in log sheets for attendance and safety purposes.
- Perform general administrative duties such as photocopying, scanning, faxing, and handling incoming and outgoing mail.
- Respond to questions and requests for information or direct individuals to appropriate office and department.
- Receive, sort, and forward all mail to appropriate employees/offices.
- Create/maintain various Excel spreadsheets and databases as needed.
- Manage supplies and ensure office equipment is always functional.
- Perform specialized tasks and complete projects as assigned by the Program Director and other members of management.
- Arrange meetings and manage the reservation of the various meeting spaces.
- Lightly clean each meeting space before/after use.
- Other duties as assigned.
Decision-Making Authority:
Decisions regarding client intakes and administrative support are to be made with guidance and collaboration of the Program Director.
Working Relationships:
Internal:
Intake Coordinators, Client Care Supervisors, Client Care Coordinators, various Directors.
External:
Mental Health Providers, Primary Care Physicians, Probation Officers, Legal Services, District Attorney's Office, etc.
Physical Environment:
- Traditional office environment.
- Must be comfortable operating standard office equipment such as photocopiers, filing cabinets, fax machines, thin clients, and phones.
Physical Demands:
Must be able to carry up to 20 lbs.
Mental and Visual Demands:
Flow of work and nature of duties involve normal coordination of mind and eyes much of the time.
- Must be able to interact with persons having mental health issues, periods of instability (i.e., lack of shelter, food, clothing, or support), recently released from an institution (i.e., hospital, prison), limited comprehension and/or ability to manage through complex scenarios.
Hours of Work:
Monday through Friday, 9am to 5pm.
Salary:
$21.50-$24.72/hr
(35 hours weekly)

- Identify and solve common administrative issues or challenges.
- Strong verbal and written communication to convey information effectively and professionally.
- Tenacity and passion for this work with the ability to balance objectivity with empathy.
- Computer literacy required must have working knowledge of Microsoft Office and Outlook.
- Associate or bachelor's Degree strongly preferred.
- Bilingual English/Spanish a plus.
