Join us as we grow Retreat Farm, Ltd. seeks a highly organized Office Manager to help maintain and enhance the Farm's administrative and operational systems.

This role will serve as a key connection point for the public, engaging with visitors in the office and throughout the grounds.


As the hub of Retreat Farm administration, the person in this role is responsible for overall office management, data management, monthly reporting, and general administrative support.

Due to the interpersonal nature of this position, the Office Manager needs to be someone who can communicate effectively (verbal and written) with a wide variety of individuals and can be responsive to the needs of the administrative team.

Core Responsibilities:


  • Greet visitors and answer the office phone, taking messages and distributing information appropriately
  • Process mail daily
  • Coordinate supply orders with the management team and ensure supplies are appropriately stocked and tracked
  • Maintain the CRM database by updating contacts. Run reports as needed, and work with the Administrative Coordinator to ensure accuracy of records and support data management
  • Process monthly donor acknowledgment letters
  • Run reports and assist in the preparation of monthly Impact Reports in collaboration with the Administrative Coordinator

Additional Responsibilities May Include:


  • Ensure website and community calendars are uptodate and accurate
  • Adhoc projects and tasks, including research, meeting support, recommending/creating procedures, etc.
  • Demonstrates a commitment to Retreat Farm's mission and vision
  • Brings broad office administration and data management experience
  • Skillfully navigates Google Suite
  • Skillfully navigates Salesforce, Mailchimp, Squarespace, or similar data, customer relationship management, and website platforms
  • Is a clear communicator who listens, distills information, and collaborates
  • Identifies problems and brings thoughtful recommendations to the administrative team for consideration
  • Is able to effectively manage multiple tasks and reprioritize work as needed
  • Is able to work effectively in the absence of close supervision
  • Will seek support and clarity when needed
  • Is able to learn and retain instructions, policies, and procedures, and continue to learn new skills to improve office management
  • Is committed to helping build and contribute to a cohesive team

Work Environment:


Physical Demands:

Ability to sit or stand for prolonged periods, climb stairs, occasionally walk for extended periods of time over uneven terrain, and occasionally lift up to 25lbs.


Wage & Benefits:

$22-24/hr plus sick leave; paid time off; employer contributions to health, vision, and dental insurances; eligibility for a retirement plan with employer match; and discounts at the Retreat Farm Market (coming June 2024).

This position is a FLSA non-exempt, minimum full-time role (32 hours per week). Requires onsite presence and does not have remote/hybrid flexibility.


Reporting:

Reports to the Executive Director and supports the Chief Financial Officer and other management staff as needed.
