    We are currently looking for an Administrative Specialist to join us in our mission to save lives and prevent injuries.

    Position Highlights:

    Provide professional administrative support, including routine financial responsibilities, to the Data Management Center / Roadway State Programs. Prepare complex, and sometimes confidential, reports and presentations. Support management and department employees through a variety of tasks related to organization, engagement, communication, analysis, print & promotion, as well as finance & accounting. Design and maintain spreadsheets tracking key financial information for state programs, ensuring consistency, completeness, and accuracy of all data. Lead the preparation of the DDC State Program Admin annual expense budget. Monitor expenses monthly and document variances. Track, receive, and submit office requisitions, check requests, and invoices. Participate in and contribute to special projects as directed by the Director / Sr. Manager.
    What You'll Do:
    • Provide administrative, project, and customer support to Data Management Center/Roadway State Programs.
      • Schedule and organize activities such as meetings, travel, training, and department staff activities for all members of the department.
      • Proactively handle all aspects of preparation, set up, and take down for team events, meetings, luncheons, etc. Monitor and replenish all office and breakroom supplies.
      • Routinely screen and route operator calls and emails through a generic DMC inbox. Independently respond to and resolve routine matters. Provide general support to visitors.
      • Design and draft general correspondence, presentations, memos, charts, tables, and graphs as needed for projects, proposals, etc. Proofread copy for spelling, grammar, and layout, making appropriate changes. Responsible for the accuracy and clarity of the final copy.
      • Prepare regularly scheduled reports including but not limited to end-of-month, phone system, personnel, finance, accounting, etc. Communicate trends or anomalies to management. Recommend changes in office practices or procedures based on analytics.
      • Assist with processing state program contract renewals. Compile NSC documents such as charters, financials, Certificates to do Business, Certificates of Insurance, etc. as needed for contract renewals and RFPs. Support W/MBE vendor relationship requirements for individual state programs.
      • Coordinate complex workflows; assure the development and accurate documentation of standard operating procedures for all assigned processes.
      • Own specific assignments related to special projects which includes planning and coordinating presentations, disseminating information, competitive research, FOIA requests, phone report analytics, budget analytics, etc.
    • Administer Data Management Center financial processes.
      • Track, receive, and submit office requisitions, check requests, and invoices.
      • Lead the preparation of the DDC State Program Admin annual expense budget. Monitor expenses monthly and document variances.
      • Manage all aspects of PO / purchasing processes for all state program room rental arrangements/vendor accounts.
      • Become a database/purchasing/accounts payable/contact management systems super-user with the ability to design and pull reports meeting the specifications of the requestor.
      • Review transaction journals, and research, and ensure processing of required financial adjustments. Reconcile monthly bank statements.
      • Design and maintain spreadsheets tracking key financial information for state programs, ensuring consistency, completeness, and accuracy of all data. Draft and compile routine monthly financial reports.
    • Contribute to overall team effort by performing other administrative and project support as required.
    We're Looking for Someone with:
    • High school diploma and at least 3 years of relevant experience. OR Associate or bachelor's degree and at least 2 years of relevant experience.
    • Must be a self-starter, be highly detail-oriented, and possess good time management, organizational, decision-making, and interpersonal skills.
    • Proven ability to respond to and complete deadlines as well as delegate and organize own work and other's workflow.
    • Excellent verbal and written communication skills are required.
    • Ability to independently handle multiple projects simultaneously.
    • Proven ability to make decisions, solve problems, and recommend proposed solutions in a fast-paced environment to customer, state agency, instructor, or facility problems or inquiries.
    • Highly proficient with Microsoft Excel and PowerPoint a must.
    • The pay rate is $24.30/hr.
