Summary/Objective:


The role of an Operations Associate is to support our organization by managing the day-to-day tasks and administrative needs of our business operations.

The Operations Associate will work with various departments across the organization to ensure all administrative and operational tasks are completed as needed.


Essential Functions:


  • Maintain records for correspondence and documentation in relation to established and new business.
  • Ensure all new business is documented appropriately.
  • Establish and maintain an elegant filing system for all contracts, correspondence, customer communications, and other documentation.
  • Assist with new and existing client initiatives including correspondence, documenting the results of the initiatives, and reporting out progress, ensuring a complete and professional service delivery on all initiatives.
  • Facilitate the development and documentation of new products and services.
  • Calendar management for Business Operations Manager.
  • Assist with preparation and sending of contracts and onboarding documents via DocuSign.
  • Assist with preparing onboarding setup for partnership blocks of business.
  • Assist with maintaining Salesforce for crucial elements of new closed business.
  • Assist with tracking and followup processes to support the sales cycle on an ongoing basis.
  • Additional duties as assigned.

  • Advanced Microsoft Skills
    Specifically Excel and Outlook (DocuSign preferrable):
  • Salesforce or comparable CRM.
  • Excellent Customer Service Skills.
  • Problem Solving and Critical Thinking.

Required Education and Experience:


  • Bachelor's degree or equivalent work experience in an administrative role.
  • At least 3 years of Aministrative Assistant experience.
  • At least 1 year experience in the insurance industry, healthcare or patient advocacy preferred.
  • Advanced working knowledge of Microsoft products (Word, Excel, Outlook, PowerPoint, Access)
  • Strong project management and organizational skills.
  • Ability to interact with brokers and members effectively.
  • Understanding of basic health insurance terminology.

Supervisory Responsibilities:

This position will work closely with other team members but has no direct supervisory responsibilities.


Work Environment:


This position will be a hybrid role and will be required to participate in regular technically facilitated meetings with leadership and staff.

Employee is required to have a home office on days they work remotely. Free of distractions and has a quiet environment.


Physical Demands:

While performing the duties of this job, the employee is regularly required to talk and listen. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.


Position Type/Expected Hours of Work:

Standard work hours. Monday through Friday available from 8:30am until 5:00pm
