    Mailroom and Facilities Associate

    Global Foundation is looking to hire a Mailroom Associate and Facilities Associate to join their growing team

    Mailroom Associate Responsibilities Include:

    • Receive, sort and distribute the mail at all multiple office locations
    • Take care of inter and intra-office mail and packages
    • Act as a messenger to deliver important or time sensitive packages
    • Track parcels from various vendors and messenger services, to ensure on-time delivery
    • Restock supplies throughout various locations including copy paper, supply kiosks and maintaining conference rooms
    • Schedule & ensure proper handling of secure shredding and other Iron Mountain materials
    • Manage vendor relationships, accounts, passwords and invoices
    • Assist office services team with special projects

    Mailroom Associate Qualifications Include:

    • Minimum of 3+ years experience in a Mailroom or Office Services role
    • Intermediate PC skills including Outlook, Microsoft Word and Excel
    • Ability to lift/move heavy materials as needed
    • Excellent customer service and verbal communication skills while working with employees at all levels of the organization and senior management
    • Flexibility with scheduling depending on projects and team coverage
    • Experience with UPS, FedEx, international shipments & customs forms is a plus

    Facilities Associate Responsibilities Include:

    • Daily building site walks and documenting maintenance/repair issues inside and outside the building
    • Responsible for Facilities related projects and issues including performing and making the decision on when vendor assistance is needed
    • Coordinate with Security and oversee vendors at locations within the building
    • Coordinate scheduling of system maintenance programs on a Monthly/Quarterly/Semi-Annual/Annual
    • Assist and coordinate internal moves and space quality issues
    • Knowledge of local laws pertaining to energy conservation

    Facilities Associate Qualifications Include:

    • Bachelors' degree is a plus
    • Minimum of 5 years in site operations, construction, or project management with jack-of-all-trades capabilities
    • Solid PC skills including Microsoft Office
    • Experience with state-of-the-art mechanical & electrical systems such as HVAC, BMS, Boiler, Lutron lighting controls, Emergency Generator, and Fire Alarms
    • Experience working with service providers and vendors
    • Experience with event planning and execution desired
