    Administrative Assistant to the Vice President for Finance and Operations at Hartwick College



    Description: Under the guidance of the Vice President for Finance and Operations, the Administrative Assistant to the Vice President for Finance and Operations role involves supporting the Vice President and the Finance Department team with various administrative tasks such as reception duties, phone handling, scheduling, file management, secretarial support, and additional assigned projects. The role also includes attending meetings and drafting minutes for the Board of Trustees Fiscal Resource Management Committee, Facilities Committee, Investment Advisory Committee, and Audit and Compliance Committee. Moreover, responsibilities encompass procurement activities across all College departments.

    Responsibilities
    • Handle incoming calls for the VP of Finance and Operations
    • Manage meetings, calendars, filing, and secretarial tasks for the VP and office personnel
    • Assist in preparing for and participating in Board of Trustee committee meetings, including recording meeting minutes
    • Risk management tasks
      • Obtain and organize insurance certificates as requested by different campus departments
      • Keep track of insurance certificates received from vendors and groups as necessary
      • Maintain insurance files and monitor renewals and expirations
      • Manage company vehicles, insurance, and related documentation
    • Handle purchasing activities
      • Process and issue purchase orders for received material requisitions
      • Ensure timely receipt of items from vendors and accurate entry into the system
      • Collaborate with the Accounts Payable Specialist to address any vendor issues
    • Procure office supplies for the Student Accounts and Finance Office
    • Establish and nurture positive relationships with internal and external partners
    • Represent the College professionally in all interactions
    • Participate in campus events such as Welcome Weekend, True Blue Weekend, and Commencement Weekend
    • Adhere to relevant College and regulatory guidelines
    • Undertake any other duties as required
    • Mandatory full COVID-19 vaccination for all employees
    Qualifications: The ideal candidate should possess some College Experience and/or an Associate's Degree along with 3 to 5 years of relevant experience. Required skills include customer service, business writing, patience, organization, attention to detail, task follow-through, prioritization, and proficiency in various software applications.

    Pay Range: $19.90 per hour
