Description of Work:


This is an ANTICIPATED vacancy. This position is expected to be available on 6/29/2024

Job responsibilities include, but are not limited to, the following:

Administrative Duties (70%):

  • Managing inventory of supplies (uniform items & administrative items).
  • Diligently monitoring policy and procedure changes and distributing same to members. Ensuring office equipment efficiency.
  • Performing traditional office support functions, i.e., sorting/routing incoming materials, handling/distribution of mail, faxing, scanning, document collation, updating files and database systems, etc.
  • Providing advisory and clerical support for Sergeants. Serving on teams and boards at the pleasure of the Troop Commander and/or Senior Patrol Management.
  • Aiding in the interpretation and completion of forms and reports.
  • Attending training and inservice schools as required.
  • Accessing the Administrative Office of the Courts computer system in order to review uniform citation status.
  • Ordering, compiling and distributing office supplies, equipment and other materials to District and Troop personnel for operational use.
  • Recording, maintaining and verifying timekeeping balances, i.e., shift premium compensation, sick and vacation leave balances.
  • Reinforcing agency mission by encouraging attitudes and conditions that promote an improved work environment.

Reports/Scheduling (20%):

  • Gathering data and compiling same in report/spreadsheet format.
  • Entering volume amounts of traffic enforcement data into computer database.
  • Aiding in the interpretation and completion of forms and reports.
  • Recording and maintaining timekeeping balances, i.e., shift premium compensation, sick and vacation leave balances.
  • Tracking due dates of reports and expiration of equipment for the District.

Customer Service/Public Contact (5%):
This position serves as a public contact in the following capacities:

  • Interacting with Administrative Office of the Courts personnel to assist with court dates for uniform members and updating citation information.
  • Interacting with public officials for the purposes of legislative action matters; coordination of special law enforcement events.
  • Interacting with citizens regarding accident reports, weather conditions, commendations, directions, stored/seized vehicles, motor vehicle laws and complaints.
  • Interacting with uniform members through the utilization of computer messaging programs to deliver messages.

Filing (5%):

  • Maintaining files and purges all Troop and District correspondence through the established District Filing guide system.
This is a full-time position (40 hours per week) with
State Benefits. The typical work schedule is Monday-Friday 8:00AM-5:00PM.

Note to Current State Employees:

Knowledge, Skills and Abilities / Competencies:

  • Experience maintaining confidential data, files and/or records.
  • Experience providing customer service and/or information to the general public, individuals and/or groups.
  • Experience utilizing a computer and associated programs (ex. Microsoft Excel, Microsoft Outlook, Microsoft Word).

MANAGEMENT PREFERENCES:

  • Current or prior State Highway Patrol administrative/clerical experience.
  • Previous administrative/clerical experience in one of the following areas/work environments: 1) law enforcement agency, 2) law firm/legal office or 3) military department.
  • Experience with any/all of the following: Administrative Office of the Courts (AOC), Fiori Time Management, Computer Aided Dispatch (CAD)/Workforce Management Plus, Division of Criminal Information (DCI) and/or E-Procurement.

Minimum Education and Experience Requirements:
