Position overview:


The Office Manager will organize and coordinate office administration and procedures, to ensure organizational effectiveness, efficiency, and safety throughout the corporate offices.

The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, front desk staff supervision and task delegation of certain administrative duties.

The Office Manager reports to the Corporate Business Manager.


Responsibilities include, but are not limited to:

  • Office ordering
- o Wilton's supplies, desks, chairs etc.
- o Keurig Coffee Supplies
- o Accounting checks & envelopes
- o FedEx Supplies (envelopes, Packs, Boxes)
- o Printer toner, copy paper
- o General supplies from Sam's
- o H-E
  • B online ordering for the office, CEO, & COO
  • Keurig coffee machine maintenance and service
  • Point of contact for vendors
  • Front desk supervision
  • FedEx
- o Invoice Control and Organization
- o Incoming and outgoing shipments

  • Mail
- o Receiving, sending, distributing
- o Spreadsheet for reimbursement

  • Breakroom & conference room upkeep
  • Oversee vault inventory/organization
  • Verify supply closets are stocked, neat, and organized
  • All payables for commercial & hospitality
  • Drive to complete bank deposits, tax payments and errands as assigned
  • Copies, scans, files etc. as assigned
  • Answer phones, transfer calls and take messages
  • Incoming and outgoing faxes
  • Maintain files such as the extension list, receipts, logs, and invoices
  • Embassy Record Management point of contact, record keeping, boxing, and storing
  • Assure that refrigerators are stocked
