Position Summary/Purpose of Position:
- Under general supervision, provides moderately complex administrative support to the office personnel.
Responsibilities:
- Receives and directs incoming telephone calls and greets visitors.
- Independently handles routine inquiries/matters and forwards remainder to appropriate party.
- Schedules and maintains room sign up calendar for all meeting rooms, including setting opening/closing of timed door.
- Compiles, prints and prepares publications, newsletters, correspondence, etc. and prepares for mailing/electronic distribution.
- Receives and distributes incoming mail. Ensures all mail is sent out in a timely manner.
- Maintains UME website and social media platforms to post pictures, videos, information, event reminders, etc. to promote/highlight programs.
- Oversees maintenance and operates office equipment such as Risograph, copiers, mail meter, sealing machine, collator, laminator, fax, etc. Ensures needed supplies are on hand.
- Prepares and generates 4H enrollment system reports. Maintains literature display racks and lobby area. Verifies annual inventory report.
Minimum Qualifications:
Education:
High School Diploma or GED.
Experience:
2 years experience providing administrative support.
Other:
Required Knowledge, Skills, and Abilities:
- Ability to communicate effective both orally and in writing.
- Ability to proofread and edit written documents.
- Ability to understand and follow oral and written instructions.
- Ability to interact effectively with internal and external parties in a courteous and efficient manner.
- Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.

Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Physical Demands - Work is performed in an office environment and requires ability to operate standard office equipment and keyboards. Must have the ability to lift and carry small parcels, packages and other items (up to 25 lbs.). Substantial movements (motions) of the wrist, hands and /or fingers. The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data; viewing a computer terminal; extensive reading.
