The Office of Innovation & Technology (OIT) is the central IT agency for the City of Philadelphia headed by the Chief Information Officer (CIO).

OIT oversees all major information and communications technology initiatives for the City of Philadelphia - increasing the effectiveness of the information technology infrastructure, where the services provided are advanced, optimized, and responsive to the needs of the City of Philadelphia's businesses, residents, and visitors.


OIT responsibilities include:

identifying the most effective approach for implementing new information technology directions throughout city government; improving the value of the city's technology assets and the return on the city's technology investments; ensuring data security continuity; planning for continuing operations in the event of disruption of information technology or communications services; and supporting accountable, efficient and effective government across every city department, board, commission and agency.


Under general supervision of the Director and/or Manager, the IT Administrative Analyst will be responsible for documenting processes related to the procurement, inventory, and disposal of computer hardware, peripherals, and software.

This position will also be responsible for the processing of purchase requests for IT related items, and the disposal of computer hardware as well as other administrative functions.


Essential Functions

  • Document current processes and keep documents up to date
  • Process incoming hardware and software purchase requests
  • Create purchase orders
  • Intake of new equipment, including documentation and adhering City asset tags
  • Completion of asset transfer forms to ensure assets are assigned to designated custodian
  • Schedule mandatory training for departmental employees
  • General Administrative tasks
  • Establish and maintain working relationships with associates, administrative officials, and departmental officials within City government.
  • Maintain relationships with vendors

Competencies, Knowledge, Skills and Abilities

  • Ability to evaluate the effectiveness of administrative functions and implement changes to provide for more effective and efficient operations
  • Basic understanding of administrative procedures and philosophies for local government
  • Proficient with Microsoft Office, including Word, Excel, and Access
  • Strong oral and written communication skills
  • Must be able to work in a confidential work environment
  • Work either as part of a team or individually
  • Prioritize and achieve deadline goals with/without supervision
  • Communicate effectively and develop working relationships
  • Highly detailoriented and organized
  • Ability to exercise sound and independent judgment
  • Effective customer service techniques
  • Ability to lift at least 50 pounds

Qualifications Education**- High School Diploma and two years of post-high school education required. A college degree is a plus but not required.


Experience/Skill

  • Previous experience as an Administrative Assistant, four years preferred
  • Attention to detail is critical
  • Proficient in Microsoft Office Suite
  • Exemplary organization skills
  • Emphasis on customer service
  • Exemplary written and verbal communication skills


Any equivalent combination of education and experience deemed acceptable by Human Resources and the Deputy Chief Information Officer/Chief of Staff will be considered.


Additional Information

Salary Not to Exceed:
$60,000

Starting salary to be determined based on experience and qualifications.
