Position Summary:


Under the general supervision of the Associate Dean of International Initiatives and Online Programs and the Assistant Director, provides administrative and operational support to the Masters of Science Online Program (MSOL).

Provides support for the administrative aspects of the program specific to student enrollment and records management. Create and maintain student records. Assist in the maintenance and management of the program's database. Maintain student files for purpose of record keeping and admissions evaluations. Act as liaison between student and employers providing enrollment verifications when needed. Responsible for providing quarterly enrollment notifications to students. Management and primary contact for test proctoring to students in the MSOL Program. Quarterly dissemination of examination materials to proctors for over 500+ students. Assist in enrollment and scheduling. Provide administrative support for special events such as Commencement, MSOL information sessions and MSOL Orientations. Liaison with Graduate Division, the Registrar's Office UCLA Extension, and UCLA Summer Sessions specific to registration and billing.

Salary & Compensation:
*UCLA provides a full pay range. Qualifications:

  • Excellent interpersonal skills to initiate and maintain cooperative working relationships with students, staff, colleagues and members of the public, and to work as part of a team. (required)
  • Excellent writing, editing and proofreading skills sufficient to independently compose grammatically correct, concise, logical letters, memos and reports. Ability to research and organize information necessary for reports and correspondence. (required)
  • Working knowledge of administrative support procedures, handling telephones and receiving and transmitting messages with efficiency and accuracy. (required)
  • Time management and skill in working independently and following through on assignments and meeting deadlines (required)
  • Ability to multitask with frequent interruptions, set priorities and work independently with mínimal direction, think strategically, work in demanding situations (required)
  • Analytical skills to appropriately interpret, prioritize, and disseminate information (required)
  • Demonstrated skill in using MS Office (e.g. MS Word, Excel, Access, etc.), ability to organize, analyze, and track Microsoft Access, Adobe Acrobat, and manage multiple telephone lines. (required)
  • Data entry skills to accurately enter data and run queries (required)
  • Knowledge of registration and enrollment procedures (preferred)
  • Ability to work occasional evenings and weekends (required)
  • Knowledge of website development and maintenance (preferred)
  • Working knowledge of University AIS online programs (SIS, SRS, SR Web) (preferred)
