University Enterprises Corporation at CSUSB ("UEC") supports the university's educational mission by providing quality services that complement the instructional program.

The University depends upon UEC to provide services that cannot be supported with state funds. We're responsible for business enterprises on campus including, but not limited to, dining, bookstore, convenience store, and vending services. We also serve as the grantee for federal, state, and local funding for research and sponsored projects.


Position Summary


Temporary, Full Time, Non-Exempt, Benefited position through 12/30/2024 (Appointment may be renewed annually based upon availability of funds, availability of work and satisfactory job performance).


Salary:
$3,120.12-$3,986.82 per month


Location:
Palm Desert


Work Schedule
40 hours per week. Typically, Monday-Friday within the hours of 9:00 am to 5:30 pm through some nights, weekend work may be required.

Typical Activities
Under mínimal supervision of the Project Director, the Lead Administrative Assistant will work independently to:

  • Manage calendars, schedule appointments, and coordinate meetings.
  • Maintain and update company databases and records.
  • Handle incoming calls and inquiries, directing them to the appropriate individuals or partnerships.
  • Assist in organizing company events, meetings, and conferences, including logístical arrangements, catering, and material preparation.
  • Order and maintain office supplies, ensuring inventory is wellstocked.
  • Assist in creating and maintaining various documents, spreadsheets, and presentations.
  • Provide general administrative support, including filing, scanning, and photocopying documents.
  • Ensure the coworking space is wellmaintained, including managing the cleanliness, maintenance, and functionality of common areas, meeting rooms, and amenities.
  • Provide basic technical support for members, such as helping with connectivity issues, printer setup, or troubleshooting common technologyrelated problems.
  • Coordinate with vendors for services such as cleaning, maintenance, and security to ensure a seamless experience for members.
  • Other duties as assigned.

Minimum Qualifications

  • Education: High school diploma: additional qualifications as an Administrative Assistant or Secretary are a plus.
  • Experience:
  • Welldeveloped communication skills, computer skills with Microsoft office.
  • Fast learner with electronic databases and programs.
  • Excellent customer service.
  • Knowledgeable of correct English grammar, spelling, punctuation.
  • Applicants must be computer literate and have good typing skills.
  • Ability to conduct webbased research, use social media effectively, and proficiency in the latest versions of Microsoft Office Suite is required.
  • Knowledge of office methods, procedures, and practices, ability to follow directions, take initiative, be flexible, can multitask and make decisions on a daytoday basis, be accountable for work performed, and ability to temporarily telework initially upon hire.
  • Other: Minimal local driving may be needed.
