    Overview

    The Atlantic Council seeks an inquisitive, driven, and entrepreneurial leader to support the planning, execution, and fundraising efforts of the organization's flagship convenings – the Distinguished Leadership Awards in Washington each spring and the Global Citizen Awards on the margins of United Nations General Assembly week in New York each September.

    The Assistant Director is an integral member of the Signature Events team within the Office of Finance and Operations (OFO). The Assistant Director will work closely with the Director of Signature Events and Strategic Planning, the Deputy Director of Corporate Relations and Sponsorships, and a cross-Atlantic Council team to execute the strategic vision and fundraising coordination for the Atlantic Council's awards dinners. The Assistant Director will drive day-to-day operations and event planning in addition to activities related to meeting the overall fundraising goal for the dinners, including prospect research, writing briefing memos, developing and reviewing sponsorship levels and proposals, copyediting, data tracking and entry into Salesforce, servicing sponsor requests, and generally supporting the entire donor stewardship workflow associated with the annual Signature Events.

    A successful candidate will have an entrepreneurial spirit, communicate effectively, and enjoy the complexity of supporting the Council's highest-profile events. The candidate should preferably possess excellent writing and copyediting skills, attention to detail, and familiarity with event coordination. The position requires superb administrative and communication skills, prospecting and research practice, and data entry through professional experience and academic work.

    This position is based in our Washington, DC, headquarters on a hybrid schedule.Pay is commensurate with experience, education, and organizational equity, with offers starting at $55,000. Applications submitted by May 24, 2024, will be prioritized for consideration.

    Job Responsibilities

    • Event Management: Support Associate Director of Donor Experience and Signature Events with event execution, including staffing, honoree coordination, venue & travel logistics, A/V & production planning, catering & décor, and guest seating. Liaise with the Atlantic Council Engagement Team and external contractors to develop event branding, collateral, and promotion.
    • Proposal Development: Support the writing, review, and copyediting of technical applications, memos and briefs, and the finalization and packaging of proposals for submission.
    • Prospect Research: Develop pipeline of HNWI, corporate and other prospects across a variety of sectors, markets and affinities across the Council. Develop prospect memos and briefings ahead of meetings.
    • Administrative Support: Draft solicitation letters and event invitations; thank you notes; schedule meetings; donor asset collection and tracking; assist with budget management and invoicing; general project management across teams.
    • Operations: Provide high quality, timely administrative support to drive the sponsorship pipeline (e.g., scheduling, basic IT support, Salesforce data entry, notetaking). Provide general administrative support with contracts and grants, track deliverables and aid with stewardship of key partners. Coordinate with sponsorships team to ensure 100% accuracy of sponsor crediting and recognition materials.
    • Knowledge Management: Ensure updated and accurate file management in Salesforce and Maintain data entry and relevant Salesforce opportunities.
    • Perform other duties as assigned.

    Qualifications

    • Bachelor's Degree or higher in a relevant field required.
    • 2-3 years of experience working in the non-profit, government, agency and/or corporate sectors preferred (volunteer and paid experience applicable).
    • First-rate ability to execute, prioritize, and follow through with various event priorities.
    • Demonstrated experience with large-scale, high-level events; experience with heads of state, foreign dignitaries, military leaders, top CEOs, world-renowned artists and/or humanitarians a plus.
    • Proven experience in copyediting, formatting, grant writing and Salesforce preferred.
    • Excellent oral and written communication skills.
    • Superior organizational, time management and project management skills, including ability to identify, balance and rapidly shift priorities as needed.
    • Ability to make sound judgments, assume responsibility, and work independently in a fluid environment with tight deadlines and competing priorities.
    • Proven ability to manage upward to move assignments to completion in a timely and professional manner.
    • Strong interpersonal skills appropriate for operating effectively in a multicultural, international team environment.
    • The ideal candidate will be a data-driven, detail-oriented, self-starter and a good problem solver.
    • Excellent computer skills using CRM/project management systems and MS Office products, including Word, Excel, Outlook, PowerPoint, and SharePoint are required.
    • Experience in fields of international development, nonprofit fundraising, sales and/or business development preferred.
    • Experience working/living internationally preferred.
