- Provides full administrative support to the Vice President Finance & Administration and Vice President Enrollment Management and Student Success including managing electronic calendar events and daily schedule, scheduling meetings, making travel arrangements, managing correspondence and telephone calls, composing correspondence, reports, spreadsheets
- Manages Board of Governors deadlines for the executives, and formats/edits motions and materials for the Board of Governors
- Manages meeting schedules and arrangements for numerous committees/task forces chaired by the executives including organization of meeting agendas and related materials, preparation of minutes, and maintenance of permanent meeting records, typically in Microsoft Teams
- Undertakes responsibility for special assignments, projects and reports as assigned
- Processes payables for both offices, reconciles purchasing card purchases and monitors office budgets
- Coordinates arrangements and provides support for administrative events
- Organizes and maintains electronic and paper files
- Processes confidential information, ensuring such information is maintained in strict confidentiality
- Expedites the flow of work through two executive offices and initiates follow-up action
- Coordinates training, scheduling and work assignments for student workers
- Provides a professional and welcoming image for internal and external constituents
- High school diploma or GED
- Demonstrated knowledge of Microsoft Office Word, Excel, Power Point and Access
- Outstanding administrative support skills
- Excellent interpersonal, verbal and written communication skills
- Evidence of ability to work independently with minimal supervision
- Excellent organizational and planning skills
- Demonstrated ability to handle multiple tasks with frequent interruptions
- Experience in handling sensitive and confidential information
- Demonstrated experience and understanding of customer service
