Responsibilities:
As the Ketamine/Spravato Department Coordinator, you will play a pivotal role in facilitating care to patient's in need and helping provide ground-breaking treatments to those with depression and anxiety
Your key responsibilities include:
Ketamine Department Coordinator
- Coordinate the Ketamine Department by arranging and performing education, recruitment, and enrollment of patients.
- Assist with management of department, eventual supervision of other employees, maintaining optimal workflow and operations
- Informational sessions regarding Ketamine/Spravato treatment to spark interest, educate patients, and answer questions. Will require knowledge of Ketamine process (training provided and self education necessary)
- Assisting with coordination of initiation of Ketamine treatments and maintenance of Ketamine schedule
- Manage mailbox and calendar for Ketamine departments, enrollment spreadsheets, high end organizational abilities required.
- Marketing and outreach for patient recruitment
Patient Care Coordinator
- Provide excellent patient care and treat patients with compassion while developing trust and rapport. Provide support, reflective listening, and compassion to patients struggling with depression and/or anxiety.
- Higher level patient care activities such as conflict resolution, outreach, care coordination with other health professionals or clinics
- Greets patients as they arrive and leave the office.
- Collect Coinsurance/Copays from patients. Process credit card payments and credits
- Accurately maintain schedules, patients and insurance information.
- Possess thorough knowledge of each physician's services, requirements, and approaches.
- Book and schedule patient appointments
- Scan medical documents in to Electronic Medical Records software.
- Provides general administrative support including faxing, copying and scanning for physicians and other office personnel as needed.
- Cross train in other departments as needed.
- Adheres to all HIPAA and confidentiality requirements.
Ketamine/Spravato Administration
- Administer Ketamine/Spravato treatments according to specific physician protocols. Set up the treatment protocols and monitor all aspects of the treatment sessions for patient comfort and treatment accuracy.
- Monitor vital signs and patient response to Ketamine treatment.
- Troubleshoot and resolve issues with patient comfort and any issues that may arise
- Administer psychiatric rating scales and counsel patients on completion of scales.
- Record session notes, track insurance authorizations, and schedule patient visits using EMR and medical scheduling software.
- Communicate with a team of certified Ketamine psychiatrists who oversee patient treatment at multiple office locations.
Qualifications:
- Self motivated, intelligent, empathetic individual who is calm and caring, works well with others, and excels in a team atmosphere.
- Ability to deliver superior customer service to all potential patients. Strong customer service skills and exceptional in person and phone presence are a must.
- Experience working front desk in medical office required. Prefer applicant to have experience as office or department manager/lead or with multiple aspects of medical practice management
- Proficient with Microsoft Word and Excel, strong computer and data entry skills required.
- Excellent written, verbal and follow up skills required.
- Excellent communication skills and ability to work well with a team.
- Ability to interact with potential patients, clinic staff, physicians and departments in a professional manner.
- Ability to multitask with high degree of attention to detail and bring tasks to completion.
- Must maintain professional appearance and demeanor and interface well with patients in a mentalhealth setting.
- Must respect and adhere to office guidelines and use good judgment regarding patient confidentiality.
