The Position:

The City of San Leandro currently has open vacancies for the Administrative Assistant II position in various departments.

An Administrative Assistant II may perform a variety of administrative support assignments in various City departments and perform related work as required.

Employment Lists shall remain in effect for one year, unless terminated or exhausted. The Employment List generated from this recruitment may be utilized to fill future vacancies while the List remains active.


Definition:
Performs responsible administrative support activities within various City departments; performs related work as required.

Supervision Exercised and Received:
Exercises general supervision over assigned subordinate staff. Receives general supervision from managers, supervisors or a higher level position.


Duties and Responsibilities:


  • Inputs, formats, proofreads and summarizes data and text into various documents, files and software systems;
  • Provides telephone coverage and in person reception; provides information to public and other City departments; issues, receives and provides forms and documents to specified departments;
  • Distributes mail and other paperwork; disseminates information pertaining to a variety of City programs, policies and procedures; posts and distributes information regarding legal noticing requirements;
  • Prepares and compiles, logs and distributes records pertaining to payroll and other functions;
  • Schedules meetings, conferences and other functions or services for department related activities; makes travel arrangements as directed;
  • Maintains a variety of electronic and manual files, logs and record keeping systems; maintains inventories and orders supplies; copies, collates and distributes information; performs document imaging and scanning; retrieves documents from filing as needed;
  • Orders and inventories supplies and equipment for department by preparing requisitions and purchase orders and interacting with vendors; and
  • Performs basic accounting, mathematical and data collection functions.

Qualifications:


Experience and Education Guidelines:

Education:
High school diploma or certified equivalent (GED).


Experience:
Two years of responsible clerical work, preferably in a public agency.


Licenses, Certificates and Other Requirements:

Must be willing to work such hours as are necessary to accomplish the job requirements; travel to attend meetings, and provide support at various City locations.

Classification requires the possession and continued maintenance of a valid class "C" California driver's license.

Must pass a comprehensive background check (when assigned to the Police Department).
