GENERAL SUMMARY:
_


Under the direct supervision of the Payroll Manager, the Payroll Clerk will mainly serve as a back-up person in payroll processing, finalize reports as basis for remitting payments to vendors for employee deductions, and other routine tasks to ensure that payroll processing is completed in the most effective manner.

RESPONSIBILITIES:
_


  • Process timecards and accurately process payroll for all employees on scheduled pay days.
  • Assist in maintaining payroll operations according to company policies and procedures.
  • Transmit weekly payroll information into Ceridian and review report for accuracy.
  • Process garnishments, prepare termination checks and submit voluntary deductions, etc.
  • Audit and process timesheets in Ceridian in a timely manner.
  • Prepare and retain all payroll records.
  • Assist employees to understand their paycheck information and answer questions related to their pay.
  • As requested, complete reports as required by appropriate governmental agencies such as EDD, Department of Labor, etc.
  • Provides payroll information as requested by the external auditor to complete the fiscal yearend audit of Form 5500.
  • Maintain employee payroll files including updating and filing documents.
  • Upon request, will prepare reports and backup payroll documents as requested by government and nongovernment auditors.
  • Operates a variety of office machines including copier, computer terminal, fax, and other equipment specific to the assignment.
  • Maintains a variety of record files, logs and statistics related to the assigned program.
  • Assist Payroll Manager to meet deadlines and timelines.
  • Insures strict confidentiality of all information and records.
  • Inputs new employee premium deductions after enrollment each year into Ceridian system.
  • Answering employees? questions and concerns regarding payroll.
  • Assist HR in resolving issues regarding employee payroll deductions.
  • In addition to other reports, prepares the following periodic reports, but not limited to:
  • AFLAC employee deductions reports
  • 403 B and 457 B contributions reports
  • SIEU 521 and SEIU 99 employee union dues reports
  • Accrued Vacation Reports (PTO)
  • VALIC loan payments reports
  • Multiple Site Reports for the Employment Development Department (EDD)
  • Employee Census Reports for 403 B Plan Auditors
  • Colonial Life Insurance
  • Workers Compensation Report
  • Pet Insurance Report
  • Other periodic reports as required by government entities, auditors and program accountants.
  • For reports requiring check payments, submits reports to Accounts Payable for payment processing. For other reports that do not require payment, submits them to appropriate government agencies and other users.
  • Takes over tasks of Payroll Specialists when they are on PTO, leaves of absence, etc.
  • Performs other functions/tasks as requested by the Payroll Manager.

REQUIREMENTS:
_


  • Two (2) years paid payroll experience.
  • High School diploma or equivalent plus a minimum of three college semester units in accounting. Associate of Arts degree preferred.
  • Proficient in reading, writing, and understanding work related material.
  • Minimum two (2) years? experience in any automated payroll processing, preferably Ceridian.
  • Strong computer skills such as typing, system and software knowledge. Working knowledge of MS Excel and Word.
  • Strong attention to detail.
  • Excellent communication skills, both verbal and written, to communicate with employees.
  • Good communication and client service skills.
  • Excellent organizational skills and ability to work independently.
  • Being an effective team player.
  • Ability to multitask with specific deadlines and ability to work independently in a time sensitive environment.
  • Must work Monday through Friday. Must work regular schedule.
  • Ability to maintain cooperative, diplomatic working relationships with coworkers and supervisors; work as part of a team and collaborate with department; and complete projects under tight deadlines even when there are completing requirements and changes in assignments.
