Office Assistant / Office Technician (Law Enforcement Support)
In addition to performance-based merit increases, this position is scheduled to receive salary range increases on the following dates:

  • Effective June 28, % increase
  • Effective June 27, % increase

  • The eligible list established from this recruitment will be used to fill current and future Office Assistant / Office Technician vacancies in the Probation Department. This eligible list may also be used to fill positions in similar and/or lower classifications throughout the County of Orange._

PROBATION DEPARTMENT:


The County of Orange Probation assists the criminal justice system in Orange County, California by making a safer Orange County through positive change.

Under the direction of the Chief Probation Officer, a dynamic executive team with an organizational structure comprised of three bureaus - Adult Operations, Juvenile Operations, and Operations Support - serves the community using efficient and research supported corrections practices to reduce crime, assist the Courts in managing offenders, promoting lawful and productive lifestyles and assisting victims.

THE OPPORTUNITY
The Office Assistant / Office Technician duties in the Probation department may include but are not limited to:

  • Receiving, cleaning, and re-filing returned files
  • Filing incoming miscellaneous correspondence and documents
  • Routing problem files to the Supervisor to troubleshoot if necessary; troubleshooting checkout cards with correspondence for matching files that are missing or incorrectly filed
  • Answering a high volume of incoming phone calls, assisting with general inquiries as well as forwarding calls to the appropriate officer and/or location
  • Maintaining the visitor's log and redirecting clients to the correct location as needed
  • Other clerical tasks as required

DESIRABLE QUALIFICATIONS

Effective Communication:


  • Ability to establish rapport with other staff, outside agencies, and members of the public
  • Effective written and oral communication
  • Valuing and participating in a free flow of information with others for the sake of a common goal
  • Show the principles of writing and grammar, including correct spelling and proper word usage, punctuation, and sentence structure

Decision Making/Judgment:


  • Ability to make appropriate decisions with guidance from supervisory staff
  • Ability to exercise exceptional discretion when dealing with the media, defense representatives, the public, as well as coworkers

Technical Skills and Knowledge:


  • Ability to type 45 wpm
  • Proficiency in current computer systems and programs as well as modern office practices and procedures and the operation of equipment

Customer Service:


  • Front office experience
  • Ability to interact in a professional and courteous manner
  • Ability to anticipate and meet customer needs in all situations
  • Ability to establish productive and professional relationships with internal and external customers
  • Ability to handle complaints and disputes with neutrality, composure, and tact

The ability to speak, read, and write in Spanish is highly desirable.

MINIMUM QUALIFICATIONS

PHYSICAL, MENTAL, AND ENVIRONMENTAL REQUIREMENTS

Physical Conditions:


  • Independent body mobility to access a standard office environment.
  • Frequently move throughout office spaces and associated locations.
  • Manual dexterity to use hands, arms, and shoulders repetitively to operate office equipment and to write.
  • Vision to read computer monitors, printed material, and handwritten information.
  • Speak and hear well enough to communicate clearly and understandably in person, over the telephone, and at a public window.
  • Sit for long periods of up to an hour at a time and up to five or more hours per day.
  • Bend, stoop, and reach to retrieve files from overhead or low shelving units, file cabinets, and drawers; may require use of step stool/ladder.
  • Lift several files weighing up to 10 pounds.
  • Unload incoming boxed files and place and push them on twotier carts

Mental Conditions:


  • Concentrate for extended periods of time.
  • Manage changing priorities and competing deadlines.
  • Prioritize multiple tasks and deal with stressful situations.
  • Refocus with recurring interruptions.

Environmental Conditions:


  • Work in an office environment.
  • Work in a group setting with frequent distractions.
  • May work in any Orange County Probation location and be rotated based on office needs.
