Description
The Operations Assistant performs a wide range of administrative support for the agency. (Residential location)


Activities:


  • Organizes lateral filing system to maintain files for each fiscal year.
  • Reviews all client files for accuracy of service codes and times, demographic information, narrative and completeness.
  • Enters all statistical data into the Illinois Criminal Justice database (Infonet).
  • Enters all shelter & housing data in the Homeless Management Information System (HMIS).
  • Assures all service codes and times are balanced at the end of each month.
  • Performs audits on files for inactivity and completes appropriate closure paperwork.
  • Runs quarterly and monthly reports.
  • Collects and processes Book Nook sales receipts, and delivers daily startup cash.
  • Completes all bank deposits and assures that bank deposits are made in a timely manner.
  • Ensure building emergency procedures are current and in use.
  • Monitors and restocks needed items in shelter, including grocery, medications and other supplies.
  • Organizes shelter storage.
  • Coordinates the processing of donations.
  • Completes monthly Shelter Advocate schedule and assists with obtaining coverage for open shifts.
  • Coordinates building maintenance needs.
  • Attends staff meetings, conferences and trainings as required by the Executive Director.
  • Other duties as assigned.

Experience & Qualifications:

Bachelor's degree preferred in Business Administration

High school diploma or equivalent required

Experience working with technology / social media strongly preferred

Knowledge of Microsoft Office preferred

Demonstrated creativity, initiative, maturity, and a passion for people of all ages

Strong interpersonal and communication skills, ability to work independently, and a commitment to ending domestic and sexual violence

Bi-lingual (English/Spanish) reading, writing, and speaking preferred


Requirements:

Local travel necessary, use of personal vehicle required with applicable insurance (at or above agency standard)

Completion of 40 hour domestic and 40 hour sexual violence crisis intervention trainings

Clearance of Illinois State finger print criminal background check (annual)

Clearance of Illinois DCFS Cants review (annual)

Unless exempted by the Americans with Disabilities Act, all persons hired for this position are required to perform the following essential functions:

  • Lift up to 25 lbs. on an as-needed basis;
  • Perform the basic life operational functions of talking, hearing, vision on a frequent basis;
  • Perform repetitive motions (i.e. computer keying and/or dialing phone) on a frequent basis;
  • Stand, walk, sit, climb stairs, reach with hands and arms, stoop, kneel, and crouch on a frequent basis;
This position requires exposure to the following environmental factors:

  • Normal office conditions;
  • Exposure to variable noise levels;
  • Possible exposure to communicable illnesses; and
  • Traveling in an automobile in various weather conditions.

Pay:
$19.50 per hour
