***Milken Community School seeks a full-time College Counseling & Academic Planning Coordinator. This position reports to the Director of College Counseling & Academic Planning and the Upper School Office Manager. This is an on-site and full time position and will begin in June 2024.


RESPONSIBILITIES- Welcomes and greets all College Counseling & Academic Planning Office guests, including students, parents, faculty, staff and college representatives.- Manages day-to-day functioning of the CC & AP office.- Attends Weekly Calendar Meetings.- Receives and screens calls for college counselors and responds in a timely manner to various correspondents.- Sets up and maintains all college counseling files and records for all students as well as printing of transcripts, documents, organizing test results, etc.- Prepares and assembles mailings (electronic and standard).- Schedules student and family appointments for four full-time college counselors & academic planners.- Coordinate with security and other campus entities for event space and other event logistics.- Maintains up-to-date information concerning summer programs, local events, and daily college visits outside of the college counseling/academic planning suite.- Oversees college representative visitation program. Responsibilities include greeting guests, setting up space for visits, printing attendance lists, clearing absences and being the face of the department.- Gather information for use in college counseling publications.- Assists with set up and implementation of programming and events, including college counseling group sessions, testing days, and grade-level family information nights. Some evening and weekend hours are required.- Conduct mock interviews with students.- Manages various college counseling databases, specifically Scoir, which includes data entry and systems maintenance.- Procure supplies as needed for the office/staff, including holiday cards, beverages, and gift cards.- Reconciles receipts from work travel/expenses of the college counseling staff.- Assists with updating, revising, and maintaining college counseling/myMilken web pages.- Other related duties as assigned.


QUALIFICATIONS- High school diploma required; college degree strongly preferred.- Prior office experience is greatly preferred; prior experience in a school office is highly desirable.- Excellent editing, filing, organizational, and prioritization skills.- Ability to maintain a high degree of confidentiality with sensitive student records.- Computer literacy, including proficiency in Google Suite, Scoir, and Blackbaud is desired.- Ability to multi-task in a fast-paced, high-traffic environment.- Excellent interpersonal skills and a desire to work with high school students, parents, and school visitors.- Willingness to acquire new skills.


Normal Hours- Monday - Thursday: 7:30 AM-3:30 PM- Friday 7:30 AM-2:30 PM- Division Meetings 3:15 PM-4:30 PM (select Wednesdays)- Select evening and weekend programming.





SALARY RANGE :
$50,000 - $80,000
