Overview:
The intake coordinator serves as the initial point of contact for clients or patients seeking services.
They are responsible for gathering necessary information, assessing needs, and coordinating the intake process to ensure efficient and timely service delivery.
The role requires strong communication skills, attention to detail, and the ability to work effectively with diverse populations.Responsibilities:
- Assisting patients with the intake process, checking out patients, providing administrative support to the medical staff, and collecting copays
- Collect demographic and insurance information, as well as relevant medical, social, or legal history.
- Conduct initial assessments to determine eligibility for services and level of need.
- Schedule appointments and coordinate services based on client or patient needs.
- Greet and welcome patients as they arrive at the office.
- Communicate effectively with internal staff members to ensure seamless transitions throughout the intake process.
- Collaborate with external agencies or providers to facilitate referrals or additional support as needed.
- Maintain accurate and uptodate records of client or patient information and intake activities.
- Ensure confidentiality and privacy of sensitive information in accordance with HIPAA or other relevant guidelines.
- Provide clear and comprehensive information to clients or patients regarding available services, procedures, and expectations.
- Serve as a liaison between clients or patients and internal staff members to address questions, concerns, or issues that arise during the intake process.
- Familiarity with phone systems and ability to handle a high volume of calls
- Participate in ongoing training and professional development opportunities to enhance skills and knowledge related to intake procedures and best practices.
- Identify opportunities for process improvement and contribute to the development and implementation of new initiatives to enhance the intake experience for clients or patients.
Qualifications:
- High school diploma or equivalent required
- Bilingual in English/ Mandarin
- Previous experience in a similar role, preferably in healthcare, social services, or related field.
- Strong communication skills, both verbal and written.
- Excellent interpersonal skills and the ability to interact professionally with clients, patients, and colleagues.
- Knowledge of relevant regulations and guidelines, such as HIPAA, preferred.
- Ability to work independently and as part of a team in a fastpaced environment.
