Position Summary:

Manages the administration of scheduling, projects, meetings, preparation and materials supervision for presentations and speaking engagements, visitors, etc. for the Chairman's Office. Ensures that all activities are carried out on the Chair's behalf in the most efficient and effective way.


Responsibilities:


  • Responsible for the oversight, supervision and development of administrative staff within the Chair's executive suite and other departmental divisions.
  • Assigns and directs work assignments, conducts performance evaluations, responsible for assessing coverage needs and responsible for all HR personnal matters related to staff supervision.
  • Serves as the frontline communicator and point of contact for the Chair's office. Assumes responsibility for facilitating, interpreting, prioritizing and disseminating messages to and from internal and external key constituencies.
  • Manages scheduling and optimal utilization of the Chair's time. Maintains calendars by balancing competing priorities and requests for maximum productivity.
  • Oversees travel arrangements for the Chair and designated visitors.
  • Organizes conference calls/meetings and webex sessions with guests and external legal and financial advisors. Coordinates the preparation of documents and other data sets needed for meetings.
  • Responsible for contract deadlines and renewals.
  • Supports the Chair with the attainment of project objectives and timetables. Coordinates approvals and interactions with key stakeholders as needed.
  • Responsible for disbursement/reimbursement activities as needed.
  • Responsible for procurement activities related to goods, services, and/or equipment as needed.
  • Facilitates faculty affairs, including recruitment, annual reviews and promotions.
  • Coordinates on and offsite dinners and special events for fundraisers and other functions.

Education:


  • Bachelor's Degree in related field

Experience:

Approximately 2-3 years of related experience, preferably in an academic healthcare or research setting.

Approximately 5-7 years of progressively responsible administrative exprerience highly desired.

  • Demonstrated ability to work effectively in a collaborative manner with all departmental faculty and staff, as well as other institutional representatives.
  • Demonstrated excellent verbal and written communications and interpersonal skills.
  • Problemsolving and decisionmaking skills and the ability to make decisions independently.
  • Highly organized and able to prioritize and handle multiple tasks simultaneously
  • Demonstrates ability to exercise standards of professionalism, including appearance, presentation and demeanor.
