- Full-Time/RegularCALIBRE Systems, Inc., an employeeowned Management Consulting and Digital Transformation company, is seeking an Administrative/Facilities Assistant for our Alexandria, VA Headquarters Office. This position provides full range of administrative and facility support to our employees in the Alexandria office and around the world.
In this role, you will be responsible for maintaining efficient and smooth operation of the building so that business can operate and our employee-owners have the resources they require to be successful.
Duties Include:
- Front Desk Reception
- Daily Operation of the facility, such as stocking office supplies, stocking kitchen supplies, ensuring a clean working environment.
- Assist with vendor selection, track and other supplies as needed from approved vendors.
- Prepare conference rooms for internal and external meetings to include setting up tables, chairs, etc. and ensure host has all needed supplies.
- Also responsible for daily maintenance of conference rooms so they are ready for use at any time.
- Assist with updating and maintaining accurate floor plans online, emergency evacuation plans, phone rosters and updating the database as necessary.
- Make travel and event arrangements, functioning as POC for Omega.
- Process supply request, to include purchasing of office, property and program supplies.
- Acts as backup receptionist when required
- Performs other general clerical duties as assigned

- Experience with all Microsoft Office Suites. (Word, Excel, Outlook and PowerPoint)
- Minimum 2 years of related experience
- Experience working in a customerfocused and fastpaced professional environment
- Detail oriented and highly organized
- Ability to communicate effectively to various levels of management
- Physical ability to push up to 150 pounds and carry up to 50 pounds regularly throughout a normal workday required
- High School diploma or equivalency certificate. (Other education, commensurate experience and demonstrated ability of individual may be substituted.)
