    Description

    Job Summary:
    The Client Services Coordinator will assist with the overall proposal development and technical documentation effort for the company.

    He/she will conduct the initial review of the requests for proposals (RFPs) and a wide variety of other bid requests.

    He/she assists with creating and submitting responses involving the company's workforce and unemployment insurance/benefits systems in a format that meets the requirements and evaluation criteria identified in the requests.

    Creating the response includes gathering and coordinating marketing, management, and development personnel inputs and writing the response from source documentation (e.g., past proposals).

    It also includes continuous review of and knowledge of the current systems and updating of boilerplate proposal documents. He/she will also assist the Training, Technical Writing, and Sales teams, as needed.


    Key Responsibilities:
    Maintain the proposal opportunity email boxCreate the SharePoint folder structure and the initial Shred/Tracker for RFP responses determined to be a "go"Draft the proposal shell template for the responseCoordinate, gather, and submit questions to potential clients regarding the RFPCoordinate logistics for client pre-proposal meetingsServe as a backup writer to assist with proposal responses when neededEnsure all final proposal files from SharePoint are mirrored on the company network driveMaintain boilerplate documentation, including employee résumésManage and maintain the entire proposal content library repositoryMaintain "Proposal History" documentOther tasks as directed by leadershipRequirementsWork Experience/Knowledge:Ability to write/edit in MS Word 2013 and higherProficient with MS Word templates, styles, and other advanced Word functionalityAbility to review and edit the work of othersAdept at working with graphicsExperience working for a software development/information technology organization preferredExperience with state and local government proposals preferredEffectively collaborate and cooperate with others to establish good working relationships within the teamExcellent organizational skills with the ability to prioritize projects and tasks in a fast-paced environmentStrong written and verbal communication skills with the ability to work both within a team and independentlyTakes prompt initiative actions to accomplish objectives Develop and sustain productive stakeholder relationshipsAnticipate consequences of decisions and actionsCommunicate recommendations to take preventative steps and initiate further actionManages time and resources to ensure that work is completed efficientlyMeets demanding deadlines in a quick and timely manner Maintains stable performance under pressure or opposition, such as time pressure or job ambiguityKeeps up with current industry developments and trendsDisplay a work ethic demonstrated in attendance, punctuality, maturity, and dedication Qualifications/Certifications:Bachelor's degree in English, Marketing, Journalism, History, Education, or a related field or equivalent combination of education and experienceAt least 2-3 years of successful technical/proposal writing in a software/technical setting or equivalent experienceProficiency in the Microsoft Office suite (especially Word, Excel, PowerPoint, SharePoint, and Project)Proficient in other tools such as Adobe Creative Suite and Snagit preferredExperience with proposal automation tools desired
