Gateways Hospital and Mental Health Center, located in Los Angeles, is a non-profit organization that provides an array of comprehensive mental health services for Children, Adolescents, Transitional Aged Youth, and Adults suffering from mental illness in the Greater Los Angeles area. The organization consists of a standalone fifty-five bed hospital and six outlying outpatient facilities that have anywhere from fourteen (14) beds to one hundred and thirty-four (134) beds. The organization has approximately four hundred (400) employees.

SUMMARY OF POSITION


The in-patient Unit Clerk Manager is responsible for the billing function associated to patient enrollment within the in-patient department along with compiling billing reports, and coordinating billing information.

In addition, the Unit Clerk Manager oversees in-patient legal processes or document submissions including but not limited to Legal Holds, PCH Hearings, Conservatorship Hearings, Writ Hearings, Riese Hearings, and clerical functions of the Nursing Unit such as scanning, ordering supplies and updating patient forms on file.


ESSENTIALS DUTIES

  • Coordinates patient admission referrals with Unit Clerks and Nursing Department.
  • Enrolls clients to the E.H.R system.
  • Performs admission enrollment audits & finalizes enrollment to E.H.R.
  • Investigates enrollment errors.
  • Submits and tracks DMH Heat Tickets.
  • Organizes and ensures nursing unit operations (i.e. files, shadow charts, scanning, patient and nursing supplies).
  • Responsible for maintaining Nursing Unit in a neat and orderly condition.
  • Ensures that all legal documents are in the latest version.
  • Meets billing deadlines.
  • Ensures patient episodes are closed during patient discharges.
  • Submits & presents billing Key Performance Indicators to Quality Department.
  • Selects priorities appropriately.
  • Organizes work and time to meet priorities.
  • Maintains patient confidentiality.
  • Attends, participates in, and transcribes accurate meeting minutes.
  • Completes all job duties in prompt, accurate and thorough manner.
  • Manages Unit Clerks Employees.
  • Maintains job interest and technical skills.
  • Performs other related tasks as directed.
  • Files, scans and uploads documents as needed to the Electronic Health Record.
  • Assists nursing department with physicians and nurse practitioners scheduling, EHR entry, and other tasks as designated.
  • Ensures monthly LPS reports are completed in a timely manner.
  • Ensures Nursing Supply Office is fully stocked.
  • Contributes to a safe, professional, and friendly work atmosphere.

EDUCATION & CERTIFICATES

  • High school diploma

EXPERIENCE/QUALIFICATIONS

  • Three years clerical or office work experience.

REQUIREMENTS

  • Must pass Department of Justice (DOJ), Federal Bureau of Investigations (FBI), and Community Care Licensing (CCL) background clearance.
  • Valid California Driver's license.
  • TB clearance.
  • Driving record acceptable for coverage by Gateways insurance carrier.
  • Fire and Safety Training*.
  • First Aid Training Certification*.
  • CPR Certification*.
  • Crisis Prevention Institute Training (CPI)*
  • Note: If indicated certifications/licenses are lacking, they must be obtained within 180 days of hire.
**Training needs to be completed within 30 days from the date of hire on a designated date provided by onboarding. Staff need to be certified at the commensurate level for their role to perform their job duties (staff will be taken off the schedule if certification is not achieved).
