Administrative Assistant

Vice President of Student Affairs

  • The Administrative Assistant provides highlevel administrative support to the Vice President of Student Affairs. This role involves managing a wide range of administrative support tasks to ensure the efficient operation of the Vice President's office. This individual plays a crucial role in maintaining effective communication and coordination within the college community and with external stakeholders, contributing significantly to organizational excellence and student success.

Key Responsibilities:


  • Serves as a liaison to administrative support staff in departments overseen by the Vice President.
  • Coordinates and schedules various appointments and meetings; makes travel arrangements; reserves facilities for meetings; maintain and coordinate the Vice President's calendar; prepares and disseminates calendar of events. Supports student conduct processes.
  • Assists the Vice President with the creation, implementation, and updating of handbooks (such as the Student Handbook), documents, policies, and divisionspecific websites as needed, assuring web accessibility standards are met.
  • Manage the student complaint process, assist with the matters related to the code of conduct, and serve as the primary point person for the oversight of the incident reporting software (Maxient) in the division. Support the process of responding to subpoena requests, including contacting students, gathering documentation, and responding to all relevant parties.
  • Responsible for purchasing (including use of procurement card), coordinating budgets, tracking, and reconciliation of purchasing logs and statements.
  • Coordinates staffing for the information desk in the Woodrow W. Bolick Advanced Technology and Student Success Center; supervises students assistants and other staff as assigned.
  • Develops, supports, and implements special projects as assigned including but not limited to strategic enrollment management and retention, dual enrollment, institutional accreditation reviews, and student success and completion.
  • Coordinates divisionspecific events, such as the annual student awards ceremony. Provides support for collegewide activities and events such as commencement.

Minimum Qualifications:


  • Extensive experience in an administrative support position.
  • Ability to review and interpret varied, substantial, and complex information.
  • Ability to make independent judgments on priorities in scheduling work assignments.
  • Exhibits excellent oral, written, and interpersonal communication with internal and external constituents.
  • Ability to deal with sensitive and confidential issues with a high degree of discretion and judgment.
  • Effective analytical and critical thinking skills.
  • Effective organizational skills to ensure timely progress on multiple simultaneous tasks.
  • Excellent customer service skills and experience in a forwardfacing customer service role.
  • Ability to work with people from diverse backgrounds, interests, and abilities.
