    Position Summary

    The Director of Financial Aid is responsible for the comprehensive operation of the Financial Aid Office, including the implementation of all Title IV federal and state programs, procedures, and regulations; responsible for the dissemination of pertinent information to students, families and the campus community.

    Coordinates the processing of financial aid applications, the collection of all required documents and data, the determination of awards, And Banner student information systems database management; supervises appropriate case review and record maintenance; provides appropriate performance reviews of staff and has budgetary responsibility for the department; manages the development and distribution of campus-specific communications; works closely with the offices of Admissions, Student Accounts, Registrars and Bookstore to insure college compliance with federal, state, and institutional regulations policies and procedures; coordinates the advisement and counseling of students on financial aid and financial literacy related matters and refers students to appropriate offices or departments for other matters; plays a key role in supporting college-wide recruitment and retention efforts; promotes staff professional development and training; assures FERPA regulations and confidentiality of student records are maintained at all times; works as a team member with enrollment management offices as well as across College divisions.

    Duties & Responsibilities

    Provides oversight in the day-to-day operational activities required to administer and manage the state and federal grant, loan, scholarship, and student employment programs.

    Identifies problems and implements solutions.

    Oversees the supervision of office personnel including student employees and works to promulgate efficient office workflow by delegating work assignments to accomplish office objectives.

    Charged with maintaining a thorough knowledge of Title IV and state aid programs and must stay up-to-date with federal/state rules and regulations to ensure compliance requirements are met.

    Responsible for maintaining a thorough knowledge of College policies that relate to the administration of financial aid, such as, but not limited to:

    admissions, enrollment objectives, academic credit requirements, academic

    suspension/probation,

    withdrawal, and refund policies.
    Directs processing of aid applications including determining eligibility, award amounts and notification of students' award; prepares documentation, validations and resolves student appeals;
    Prepares and administers departmental budget; assists with university budget matters relative to financial aid and state funding;


    Responsible for monitoring and reconciling of the federal and state grants, work-study, and internal and external scholarships funds on a monthly and quarterly basis with Accounting Office.

    Works collaboratively with the College's Banner Administrator and IT personnel on installation timing of all Ellucian Banner Financial Aid updates and coordinates testing prior to running processes in production mode.

    Responsible for administering the annual Banner financial aid setup, and works with College's Banner Administrator on rules and popsels queries used in processing financial aid.

    Identifies Banner issues related to financial aid processing, reporting systems, Banner generated communication, budget, packaging/awarding and disbursement of aid funds.

    Submits tickets to Ellucian's support when required.

    Responsible for supervising the Banner processes related to uploading FAFSA (data load) and running end of term Satisfactory Academic Progress process and delegating the work needed to determine continued aid eligibility and communication to students.

    Works collaboratively with Banner Administrator and Institutional Research Office to create system queries to assist with the day-to-day operation of the office, federal, state and institutional aid processing.

    Participates in the collection, management and reporting of data in accordance with the objectives of the position; participates in the development and implementation of data management systems and procedures, as appropriate.

    Responsible for the preparation and submission of the annual FISAP report for the U.S. Department of Education and the DEAR report for the NM Higher Education Department.
    Works to meet A133 audit requirements and requests from external auditing agencies.

    Serves as liaison with campus departments, outside agencies, and stakeholders who have interest with the Financial Aid Office or the College.

    Provide a lead role in advisement to students and their families regarding available financial aid opportunities, eligibility requirements, and application processes.

    Reviews and assesses eligibility of applications for financial aid by completing file verification involving the review of financial statements, tax return information and other relevant documentation as required by Title IV regulations; packages and awards aid using BANNER software.

    The Director is accountable for establishing and maintaining excellent customer service standards within the department; securing and developing professional staff members and managing the day-to-day operations of the department.

    Expected to deal with and resolve complex financial aid issues

    Responds to inquiries and researches and resolves problems related to transactions handled by the unit and serves as a liaison with other constituents in the resolution of day-to-day administrative and operational issues.

    Participates in Financial Aid workshops and/or presentations for current and prospective students on campus and at surrounding schools and communities in the College's service area.

    Completes all required training and professional development sponsored by Federal Student Aid Programs, State Higher Education Department and the College
    Perform other duties as assigned.

    MINIMUM JOB REQUIREMENTS
    :

    Bachelor's Degree
    At least five years experience working in college financial aid setting or similar experience.
    Knowledge of Title IV financial aid regulations.
    Experience with supervision and development of staff.
    Experience using student information systems (Banner)
    Ability to work some nights, weekends, and on occasion during holiday breaks.

    PREFERRED QUALIFICATIONS
    :

    Experience working with Ellucian Banner Financial Aid Module
    Higher level educational degree
    Experience using Microsoft Access software
    KNOWLEDGE, SKILLS, and ABILITIES:

    Strong skill in the use of personal computers and related software applications (Word, Access, Excel)
    Strong data and records management skills and attention to detail for management of data input and data integrity.
    Ability to make administrative and procedural decisions and judgments on sensitive and confidential issues.
    Ability to effectively train or guide staff and students.
    Ability to provide high level of customer service and provide a standard for others to follow.

    WORK ENVIRONMENT:

    Work is normally performed in a typical office environment. Requires some evening and weekend work. Occasional travel to conduct outreach activity.
