***The primary purpose of this position is to provide receptionist duties and a variety of office and administrative support tasks to the Housing Choice Voucher Program. As the first point of contact for the division, the incumbent will demonstrate exceptional customer service in greeting and welcoming visitors to the division. A positive, helpful, and effective manner is expected at all times. Additionally, this position will perform administrative support work, as assigned, throughout the division and serve as backup support to other administrative staff when required.


All activities must support the District of Columbia Housing Authority's ("DCHA" or "Authority")'s strategic goals and objectives and produce results that accomplish the goals of the Housing Choice Voucher Program (HCVP).


ESSENTIAL DUTIES & RESPONSIBILITIES
The position duties and responsibilities listed below describe the general nature and scope of work. Other responsibilities, duties, and skills may be required and assigned

  • Ensure that the front desk area is kept professionally and visitors are attended in an effective and timely manner;
  • Coordinate all front desk activities; including receipt of mail, packages and other small deliveries; distributing all items received promptly;
  • Manage phone calls, screen and redirect such calls to the call recipient or the Call Center for followup; take and deliver messages when necessary;
  • Screen visitors and ensure that they are directed to the appropriate individual; adhering to office protocols;
  • Provide basic and accurate information to visitors and callers; if unsure, communicate with the supervisor to ascertain the correctness of responses; receive, sort and deliver mail daily; ensuring prompt delivery;
  • Responsible for the booking of the division's conference rooms; monitors room usage ensuring areas are kept clean and professional; schedules meetings as requested;
  • Take meeting minutes and reproduce in an organized manner. Track followup items
  • Monitors office supplies usage and orders such supplies when stock is low
  • Maintain filing system for the efficient retrieval of documents; performing appropriate document scanning as required
  • Provide administrative support to staff members including backup support as required
  • Perform other related duties as assigned.

Job Requirements

EDUCATION & EXPERIENCE
High school diploma and two years of college or other post-high school education. Four years of front office management experience, including administrative support work. Other combinations of education and experience may be considered.
