Position:
Administrative Coordinator


Block Institute is seeking an organized and efficient Administrative Coordinator to join our Adult Services Programs and Support Departments team.

As the Administrative Coordinator, you'll play a critical role in ensuring the smooth operation of our programs through high-level administrative support.

This position is ideal for someone with a strong background in administration and project management, who enjoys problem-solving and creating efficiencies in operational processes.


Essential Job Duties and Responsibilities:


  • Provide technical support and training in the use of Paycom and Therap across multiple departments.
  • Assist in project management related to the implementation of policy and procedure, training/onboarding, and electronic systems.
  • Conduct analysis of systems and statistical data to identify trends and develop efficiencies.
  • Compile business intelligence to provide regular reports on trends to Program Directors.
  • Conduct and submit completed investigations in compliance with Agency and external policies.
  • Attend department meetings to gather information and assist in the development of Agency practices.
  • Facilitate New Employee Orientation and Agency Training sessions.
  • Track and monitor Policy and Procedures to ensure compliance.
  • Assist in the development of training curriculums.
  • Manage tools for reporting, tracking, and other systems used by Adult Services Programs.
  • Schedule appointments and relay general business information to callers.
  • Draft routine reports, memos, and responses to correspondence.
  • Ensure appropriate interactions with coworkers and program participants, adhering to regulatory agency regulations and Block Institute policies.
  • Maintain excellent attendance and punctuality, ensuring work responsibilities are covered during absences.

Qualifications:


  • Associate's Degree preferred.
  • Minimum of 3 years of experience in an administrative role.
  • Computer proficiency in Microsoft Word, Outlook, and Excel.
  • Strong organizational and communication skills.
  • Ability to follow verbal and written instructions.
