Position Summary The Practice Manager is responsible for the daily operations, coordination, and administrative leadership of the campus Health Center. This role serves as the primary liaison between students, healthcare providers, and college administration while maintaining strict confidentiality and compliance with healthcare regulations. The Practice Manager ensures efficient clinic flow, supports clinical staff, and helps students navigate healthcare resources—often serving as both an operational leader and a patient advocate.

Key Responsibilities

Work Schedule

Monday–Friday, 8:00 AM – 5:00 PM, On-site at campus Health Center

Open to attending applicable weekend University Events. (Student orientation / move-in)

Operations & Clinic Management

Oversee daily operations of the campus Health Center, including opening and closing procedures (Monday–Friday, 8:00 AM–5:00 PM).

Manage appointment scheduling, patient flow, and timely service delivery.

Return missed calls and respond to student inquiries promptly.

Monitor clinic workflow to ensure providers (MA, RN, NP) are operating efficiently.

Maintain organization of front desk operations when needed, including check-in, reservations, and general assistance.

Student Communication & Support

Serve as the primary point of contact for students, parents and university leadership regarding health center services.

Communicate clearly and professionally with college students while maintaining confidentiality.

Assist students in understanding healthcare processes, paperwork, and required documentation.

Help facilitate Telehealth visits when providers are fully booked or out of office.

Executive & Campus Collaboration

Act as liaison between college administration and healthcare staff.

Communicate operational updates, concerns, and student need to campus leadership.

Maintain discretion when discussing sensitive student or clinic matters.

Volunteer, participate in Admissions, Student Affairs and Military Services

Compliance & Medical Administration

Ensure compliance with HIPAA and all privacy regulations related to medical records.

Oversee accurate documentation and maintenance of legal medical files.

Monitor and manage EMR (Electronic Medical Records) systems for accuracy and completeness.

Educate students on when insurance is required (e.g., labs, specialty referrals).

Arrange and document monthly Medical Director oversight.

Oversee and coordinate with the RN to ensure appropriate medication inventory levels are maintained for weekly pharmacy needs.

Care Coordination & Community Partnerships

Develop and maintain relationships with local specialists, labs, and referral partners to ensure timely access to care.

Coordinate outside referrals and follow-up services for students.

Support continuity of care between the campus health center and external providers.

Staff Leadership

Provide day-to-day oversight and support to clinical staff including Medical Assistants, Registered Nurses, and Nurse Practitioners.

Ensure clinic operations run smoothly, and patient needs are met in a timely, compassionate manner.

Foster a positive, team-oriented environment focused on student-centered care.

Required Skills & Qualifications

Strong communication skills with both college-age students and executive-level leadership.

Knowledge of HIPAA regulations and medical record compliance.

Experience with EMR systems and healthcare administration.

Ability to manage confidential information with professionalism and discretion.

Excellent organizational and multitasking abilities.

Ability to work independently and manage multiple priorities in a fast-paced environment.

Preferred Qualities

Patient, approachable and professional.

Ability to educate and guide young adults independently.

Proficient conflict resolution skills

Leadership skills with the ability to support clinical staff and maintain workflow.

Capable in building partnerships with community healthcare providers.

Pay: $50, $60,000.00 per year
