Description

The Assistant Director for Administration for the Academic Advancement Program (AAP) functions independently to support the teaching and program mission of the units under the Associate Vice Provost for Student Diversity (AVP)/Director of AAP.

The Academic Advancement Program provides innovative programs and services to more than 6,000 UCLA undergraduates from diverse populations who have been historically underserved by higher education.

AAP programs and services include tutoring, counseling, mentoring, scholarships and research opportunities to support the academic success, retention and graduation of the program's students, to increase the number of these students entering graduate and professional schools and to develop the academic, political, scientific, economic and community leadership necessary to transform our society.

The Assistant Director for Administration provides managerial leadership for the administrative and personnel support for all programs and activities within the various AAP units.

In addition, provides leadership, supervision and direction for AAP's student recruitment and retention activities and the Freshman and Transfer Summer Program (F/TSP).

The Assistant Director for Administration directly supervises the AAP New Student Program's administrative assistant, AVP's administrative specialist and student staff, as well as provide guidance and policy support to other program administrative assistants.

Qualifications

  • Skill in leadership as demonstrated by exercising mature judgment in independent decisionmaking, and exercising initiative and creativity in implementing departmental and university policies and procedures. (required)
  • Oral communication skills to convey information clearly and accurately to faculty, students, staff, the public, campus service departments, and outside vendors. (required)

  • Ability to answer questions, solve problems and make sound recommendations by gathering data, conducting administrative analyses requiring knowledge of the university's administration, organization, policies, procedures and practices. (required)
  • Skill in analyzing information, dealing with problems, practices and procedures to define issues, identify relevant concerns, recognize alternatives and implications, and formulate logical and objective recommendations for effective solutions. (required)
  • Skill in interacting diplomatically with faculty, staff, students, and administrative offices, assuring confidentiality of sensitive documents, communicating established policies, and recommending changes when appropriate, with an ability to maintain equanimity during exchanges of ideas, information, and opinions. (required)
  • Supervisory skills to hire, train, and evaluate performance of assigned workers and to elicit a high degree of professionalism from them. (required)
  • Ability to manage projects and schedule time, using project management techniques. (required)
  • Superior writing skills to draft, edit, and produce final reports and analytic documents presenting data. (required)
  • Skill in independently coordinating an extensive and varied workload with multiple deadlines, and modifying or adapting office procedures to optimize effort and use of time and materials. (required)
  • Ability to design programs and files for information storage, easy update, and the generation of programmatic status and other administrative reports. (required)
