    Job DescriptionJOB TITLE: Receptionist (Spanish Speaking)

    REPORTS TO: Operations Manager

    The Receptionist in a LEAD Public School is essential to maintaining the look, feel and culture of each of our campuses as well as to ensuring the smooth operation of the schools. This person is often the first point of contact for parents, students, and the community at large, and therefore has a responsibility to represent the school in a friendly, respectful, and professional manner. The Receptionist must maintain an efficient, positive attitude even in stressful situations.

    Our receptionists work relentlessly with the front office staff to ensure that our students and families receive excellent custom service and support during their time in our buildings. This incredible work is done through coaching and support from administration, implementing regular feedback, collaboration with colleagues, and data analysis.

    Successful receptionists at LEAD Public Schools are committed to put in the extra effort to ensure that our students have access to a high quality education. Our staff persevere through difficult challenges and don't give up. We ask our staff to be flexible, hardworking, and constantly striving to improve their abilities in the classroom to meet our students' needs. We are looking for a bilingual receptionist that can speak both Spanish and English.

    MAJOR PERFORMANCE RESPONSIBILITIES AND DUTIES:

    Office Manager Support

    • Administrative responsibilities that include answering door buzzers and phone calls, directing callers to the appropriate person or school, taking messages, and relaying messages to all entities
    • Support the day-to-day office workload for the purpose of ensuring the completion of activities in an accurate and timely manner.
    • Maintain a wide variety of manual and electronic documents files and records (e.g., student registration data, student health forms, master calendar, budget data, employee records, financial records, reports).
    • Daily maintenance of financial records, purchase orders, and collect payments for a variety of events and services. Procure supplies and materials for the purpose of maintaining availability of required items.
    • Compose a variety of documents (e.g., correspondence, agendas, minutes, newsletters, bulletins, reports).
    • Communicate with students and parents. Assist students and parents with requests and ensure a high level of customer service.
    • Coordinate with the Office Manager on a variety of projects, functions and/or program components (e.g., facility usage, guest teachers, meetings, in-service events, travel and accommodations).
    • Respond to inquiries from a variety of internal and external parties (e.g., staff, parents, students, public agencies) for the purpose of providing information or direction and/or facilitating communication among parties.
    • Support Office Manager, Operations Manager, and other responsibilities as needed

    QUALIFICATIONS:

    • Experience:
      1. 1 year experience in an office assistant role. School based experience is preferred.
      2. Experience in customer relations and interacting with a wide range of stakeholders on a daily basis.
    • Skills
      1. Fluency in English and Spanish
      2. Attention to detail
      3. Familiarity with Microsoft Office (Word, Excel)
      4. Excellent verbal and written communication skills.
      5. Ability to build trust and drive change by forming good relationships with staff.
      6. Self-starter who sets high goals; is comfortable dealing with ambiguity and can handle multiple projects at once with limited oversight.
