What You Can Expect:

As an
Administrative Assistant - Payroll you are primarily responsible for processing payroll on a weekly basis, as well as addressing questions and concerns for the team.

Your day-to-day will always look a little different, but includes (but not limited to):


  • Maintain employee confidence and protect payroll operations by keeping information confidential
  • Act as the first point of contact for employees with payroll related requests (update direct deposit, W4, etc.)
  • Complete payroll daily by costing labor and materials indicated on workorders
  • Utilize GPS system to validate scheduling and payroll information
  • Verify CA break and lunch laws are followed
  • Verify overtime laws are followed
  • Complete daily schedule sheets after payroll has been completed. Give to Billing upon completion
  • Manage employee time keeping. Partner with Production Manager on repeat offenders that do not clock in/out correctly
  • Ensure what is costed for labor and material does not exceed in large amounts what was included in customer's bid. Partner with Production Manager and/or Salesman as needed.
  • Submit payroll on a weekly basis, accurately and on time
  • Respond to payroll/billing audits from corporate
  • Ensure weekly time and job reports are printed and signed by all employees, scan and file accordingly
  • Resolve payroll discrepancies by submitting payroll corrections
  • Verify Prevailing Wage amounts are accurate
  • Evaluate and submit all Certified Payroll & DIR uploads through Company tracking tool to ensure compliance with labor laws and payroll regulations
  • Process of Fringe benefits and training payments
  • Communicate with managers on payroll/HR related issues
  • Respond to payroll/billing audits from Corporate office
  • Perform internal audits
  • Cash Posting
  • Receptionist duties including answering calls, meeting and greeting guests and employees with a professional and welcoming attitude, keeping the front area tidy and orderly, and receiving packages
  • Cross train in scheduling/billing

To Be Successful:

  • HS Diploma or GED Equivalent
  • Minimum of two years payroll related experience
  • Knowledge of Prevailing Wage & Davis Bacon laws
  • Familiar with DIR wage setup and increases
  • Solid proficiency with Excel and working knowledge of other Microsoft Office products
  • Strong, clear verbal and written communication skills
  • Ability to work under pressure and meet deadlines independently
  • Ability to multitask
  • Highly organized
  • Excellent attention to detail
  • Strong Problemsolving skills
  • Team Player

Schedule:
Monday - Friday


Pay:
$18 - $22 per hour

Position requires a drug test be completed, contingent upon employment and a background check if applicable
