Overview:
Supervise the activities of the Department of OBGYN and Division of Maternal Fetal Medicine's administrative and HIS staff. Execute routine administrative assistant assignments including dictated, written, or composed correspondence. Perform a variety of general administrative support duties. Provide direct assistance to physicians, supervisor, and senior management. Perform other duties as required


Responsibilities:


  • Supervise the administrative secretary and HIS staff to include but not limited to meeting with secretaries and HIS staff monthly, communicating with secretaries, HIS staff and physicians to provide solutions to problems, organizing work flow, annual evaluations, distributing petty cash, counting copays at the close of business, typing and submitting check requests, keeping procurement card and updating expense sheet, verifying time cards, and taking meeting minutes for monthly supervisor meetings.
  • Admin Support for 24 physicians group practice to include but not limited to maintaining provider Microsoft Outlook calendars, scheduling meetings, answering and transferring phone calls, composing and editing letters, completing reappointment packets, maintain CV, CME, licenses, research files, maintain tasks in EHR, copy/scan/fax. Call for repairs/service as needed.
  • Coordinate all administrative functions associated with the OB/GYN Department Grand Rounds.
  • Maintain and edit Departmental website to include but not limited to daily monitoring of site, updating information, and inputting information.
  • Make travel arrangements, such as booking flights, and making hotel and restaurant reservations.
  • Complete travel voucher and mileage reimbursements.
  • Compile information/data for meetings. Ensure all necessary equipment functionality prior to meeting start time.
  • Serves as replacement staff when operationally required.
  • Perform other duties as assigned.

Qualifications:
Associate's plus three years of relevant experience in a Health Care environment, preferably in a physician group practice. High skill level with Microsoft Office software; experience with HER/EMR software.
