Are you an organized and detail-oriented individual looking for a new opportunity in the property management field? We are a small family run business located in Rockridge, Oakland currently looking to hire an Admin Assistant to join our team
As an Admin Assistant, you will play a vital role in ensuring the smooth and efficient operation of our office.
Skills and Qualifications:
- Bachelor's Degree preferred
- At least 35 years of office administration and administrative support, ideally with a property management/real estate background.
- Excellent computer skills using MS Word and Excel; Google Docs; Dropbox; Asana task management software. Preferable experience with AppFolio property management software
- Strong phone and communications skills
- Bilingual in Spanish (a plus, but not mandatory)
- Clean driving record
- Confident selfstarter who can work proactively to complete tasks with efficiency and accuracy
- Takes initiative and able to receive feedback while working as part of a team
Job duties & Responsibilities
- Assist with maintenance schedules by prioritizing and assigning work orders
- Coordinate work order requests with tenants and maintenance crew
- Onboarding and offboarding tenants to ensure smooth unit turns involving key elements such as: inspections, repairs, keys, signage, cleaning
- Assist with marketing materials for listings of available units for rent
- Update and maintain property management data in AppFolio
- Order specific signage as needed for each property
- Research and order products and tools for repairs, maintenance and construction
- Assist with bookkeeping tasks such as credit card reconciliation, accounts payable, accounts receivable, timesheet data entry and document scanning
- Use a tracking system for recycling construction materials for reporting to City of Oakland
- Coordinate with tenants for any utility install and resolve any issues with utility companies.
- Maintain office equipment and reorder supplies when necessary
- Troubleshoot basic technical issues such as printer, modems and computer problems
- Assist with receiving and returns of deliveries and packages
- Digitize and shred old documents
- Various other ad hoc tasks
