Job Title:
Payroll Manager/AccountantQualifications: - A minimum of an Associate's Degree. Bachelors Degree in accounting or relevant field preferred - At least three (3) years experience in payroll and/or accounting. Experience with a municipality or public school district is preferred - Must be detail oriented, organized and have excellent time management skills

Demonstrated proficiency in the use of Microsoft Office products including:

Word, Excel and PowerPoint as well as Infinite Visions System Software (School ERP Pro) and/or other software as appropriate to the described position.

Experience using Infinite Visions Software (School ERP Pro) is a plus.

Such alternatives to the above qualifications as the Executive Director and the Director of Finance and Operations may be appropriate and acceptable.


Terms of Employment:
Twelve month, full-time position.


No evening meetings


Salary Range:

$60,000 - $75,000, based on experience and skill set

Job Goal:

The Payroll Manager/Accountant works under the direction of the Director of Finance and Operations to perform daily payroll/accounting functions related to the payroll/benefits administration and accounting.

The Payroll Manager/Accountant plays an integral role in fostering a welcoming, equitable, and inclusive working environment for all employees.


Performance Responsibilities:

  • Responsible for all aspects of payroll via Infinite Visions
  • Answer payroll questions from staff members
  • Ensuring proper signatures/approvals on timesheet documents
  • Making the appropriate changes to benefits within the payroll system
  • Process MTRS/State Retirement biweekly/monthly deductions
  • Complete wage verification reports for the retirement systems
  • Responsible for preparing and submitting quarterly reports of wages, quarterly federal and state withholding taxes
  • Pay federal and state withholding taxes for the biweekly payrolls and file state/federal quarterly 941 reports
  • Process and file employee W2s and 1099 tax documents
  • Organize and manage ACA requirements and submittals
  • Ensure level of benefits established are recorded and applied accurately in accounting software
  • Budget management in financial software, to include general ledger and financial records of the Collaborative, budget imports, budget adjustments and transfers to/from accounts
  • Prepares all journal entries and financial transfers
  • Reconcile and balance all bank accounts on a monthly basis
  • Maintain files, databases and other records as directed
  • Prepares cost report, cash flow, and cash flow projections.
Cash flow to be updated on a weekly basis

  • Complies data and prepares monthly/quarterly/annual reports
  • Assists with the preparing of the financial statement for the audit preparation work
  • Prepare reports as required by state and federal agencies that relate to the fiscal operations of the Collaborative
  • Attend meetings and trainings as appropriate for accounting responsibilities
  • Any other duties as assigned by the Executive Director and the Director of Finance and Operations

Physical Requirements:
The position requires a moderate amount of walking, standing, and sitting. Activities include mínimal exertion in body movement such as reaching, bending, twisting, grasping, pushing and pulling of objects. The position requires lifting of 20 lbs on an occasional basis. There is a requirement of fine manipulation associated with the use of a keyboard.


Environmental Conditions:
The occupant works indoors in a normal office space environment.
