Position Summary
Coordinates workflow in Operations Department. Dispatches crews, assists with outage restoration and updates the computerized mapping system. Assists with inventory ordering and accounting. Performs clerical functions for the department. Assists members with their requests as they pertain to operations.


Essential Responsibilities and Duties

1. Member Relations


1.2 Advises Jo-Carroll Energy members of the processes for pricing, workflow, and data that the members supply to the Co-op.

1.3 Works closely with all departments within the company.


1.4 Works closely with a variety of external contacts, including members, the general public and contractors and must maintain a pleasant and courteous demeanor.

1.5 Uses YUKON or other cooperative software in order to analyze meter events, meter reads, and other usage/voltage inquiries.

1.6 Assist other departments with special member events.


2. Outage Management
2.1 Constantly monitors all radio traffic.

2.2 Takes initial outage/trouble calls from members.

2.3 Discusses/advises operations managers of outages.

2.4 Enters trouble tickets into computer outage manage program.

2.5 Manages outages in the OMS system, verifying and processing all details of the outage.

2.6 Responds to and assists crews with information needed on outages, members, etc.

2.7 Dispatches outages to electric, natural gas, and broadband crews.

2.8 Works with the response center dispatchers on clearing trouble calls.

2.9 Assists with outages, gas leaks, and other emergencies as needed. This may require extended work periods.


3. Work Order Flow
3.1 Processes all aspects of work orders, from start to final close to plant account records.

3.2 Releases work for line crews after verifying all needed data, payment, paperwork requirements, etc. are met for the job.

3.3 Calls in JULIE locates and maintains records on all JULIE information.

3.4 Processes closed work orders, ensuring all necessary information is electronically input and shared with the Billing Department.

3.5 Balances the actual material used against the material staked for the job.

3.6 Verify accuracy of all aspects of work orders in preparation of final close to plant records.


4. Inventory, Material Processing and Accounting


4.1 Performs the accounting functions of the inventory items used in the construction, retirement, or maintenance of the plant facilities on a daily basis.

4.2 Assists with creating purchase orders and ensuring that items, are properly coded to the correct account.

4.3 Assists with yearend physical inventory process, including the physical count, the data input into the system.


5. Clerical Support
5.1 Generates service orders and work order packets.

5.2 Scans and archives departmental work.


5.3 Works as back up for other employees and other departments as needed based on work demands or absence of other employees.


6. Performs all other duties pertaining to the cooperative within the limits of individual qualifications so assigned.

  • Processes work and service requests in a timely manner.
  • Accuracy in work completed as measured by the actual information input into the system.
  • Member satisfaction as measured by surveys, member complaints.
  • Workflow processes as measured by amount of time to complete the work, timely turn-around of information and making sure that other employees work is not hindered.

Qualifications

  • High School Diploma or equivalent.
  • Basic Computer skills, including Microsoft Office.
  • Ability to learn new skills and changing procedures.
  • Exceptional organization skills.
  • Must be skilled in communicating with others.
  • Ability to multi-task & change tasks & priorities on short notice.
  • Must possess knowledge of office equipment.
  • Must possess a valid driver's license.
  • Must be able to handle stressful and demanding work situations at times because of work demands and consumer complaints.

Working Conditions

  • Generally, works in a climate-controlled office setting, but at times will have to work in a warehouse or other outside climate
  • Uses fingering and near vision for paperwork, computer entry, work processing.
  • Uses hearing and speech to communicate.
  • Minimal physical exertion
  • At times, must be able to stand, move, crouch/stoop and bend, kneel, reach, and lift up to 30 pounds.

Pay:
$ $29.40 per hour
