Nelson Mullins is looking to add an IP Docketing Specialist to their Intellectual Property team.

    A Day in the Life:

    As the IP Docketing Specialist, this multifaceted role, is crucial to the effective management of intellectual property matters within the firm. Each day, you will diligently review approximately three hundred emails, carefully assessing and appropriating actions, as necessary. This includes docketing of new actions, closure of completed actions, routing to appropriate attorneys or staff, entering descriptive remarks for case updates or correspondence to and from clients and foreign counsel. You will also ensure all actions are docketed in a timely manner based on urgency. You will check to ensure all incoming documentation matches most recent filings in public data, review data for accuracy and update or flag discrepancies for attorneys, incoming patent, and trademark office documents (for example: entry of the latest information and calculation of deadlines).

    In addition to the data portion, this role will include generating reports requested by Firm attorneys, clients, or foreign counsel, by way of, standard reports interface in CPI, or for more complex reports, by usage and generation of SQL queries. This may contain audit and cleanup of existing docket data while completing special projects, standardization, and maintenance of accurate case statuses. Your keen eye for detail will be essential for processing daily docket clearance reports from IP staff, by proactively closing docket reminders and deadlines based on detailed review of incoming correspondence that will indicate completion. You will process other de-docket requests submitted by IP staff, outgoing file transfers by closing outstanding docket actions and inactivating cases within the docketing system. You will also manage incoming file transfers by immediately opening records, reviewing auto-generated CPI actions and flag all urgencies for attorneys, and confirming responsibility for annuities payments will be critical in this role.

    Finally, you will be responsible for maintaining the completeness and accuracy of case records. This involves reviewing complete file histories for all cases, entering comprehensive information into the CPI records, and confirming details using patent office websites where necessary.

    Your meticulous attention to detail, proactive approach, and ability to manage multiple tasks efficiently will be invaluable in supporting the firm's intellectual property operations and ensuring the smooth execution of tasks and responsibilities.

    You are a go-getter who loves diving in and helping the team. Youre able to utilize your prior IP-specific docketing experience (3+ years) to thrive in a high-volume law firm environment. Youre a quick learner with a superb attention to detail, the ability to prioritize and succeed, and hyper organized. You have strong communication skills and work well both independently and as a team. You have the confidence and knowledge to synthesize information on your own and are a pro at staying calm under pressure.

    • Must have experience with CPI. Strong trademark docketing experience a plus
