Overview:

Responsibilities:


Administrative Support & Customer Service

  • Answer phones and direct calls to appropriate staff.
  • Open and distribute daily mail.
  • Provide a high level of customer service.
  • Update customer accounts.
  • Complete credit reference forms.
  • Enter updated CA numbers into MIS.
  • Send invoice copies and statements upon request.
  • Assist with customer refund requests

Credit & Collections Support

  • Verify sales tax rate on BOE website.
  • Assist with filing mechanic liens and processes.
  • Prepare accounts for collections.
  • Run weekly lien aging reports and follow up on accounts.

Sales Order & Invoice Management

  • Maintain accurate records of credit transactions.
  • Prepare lien releases for customers.
  • Release sales orders.
  • Move invoices to correct accounts.

Qualifications:

Minimum Qualifications

  • High school diploma (or equivalent) is preferred. A combination of education and experience providing the required skill and knowledge for successful performance of the job would qualify.
  • Strong analytical skills and process improvements mindset.
  • Computer proficiency and technical aptitude with the ability to use Microsoft products, experience with Excel.
  • Excellent time management skills and ability to plan and set priorities.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills in dealing with AR department and Credit department Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to operate a computer, 10key and other office equipment.
  • Ability to interpret and adhere to rules, methods, policies, and procedures of the workplace

Ideal Work Experience & Skills (in addtion to minimum qualifications)

  • Prior experience with accounts receivable/ payable.
  • Experience with high growth, fast changing environment.
  • Proficient at learning new (and old) software systems.
  • Experience working with Excel spreadsheets.
