ANNOUNCEMENT & PURPOSE OF POSITION


Pottawattamie County Secondary Roads is announcing the hiring of an Administrative Assistant to join their team

The Administrative Assistant provides administrative and clerical support to the Secondary Roads department. This position assists the Office Manager with daily office operations, correspondence, recordkeeping and reporting, document preparation, and routine financial processing.

ESSENTIAL FUNCTIONS


Provides day-to-day administrative support to the Secondary Roads department, including scheduling, preparing documents, and assisting with correspondence.

Performs data entry, filing, scanning, and maintenance of electronic and physical department records.

Assists Office Manager with processing invoices, purchase orders, and payroll/timekeeping documentation in accordance with County procedures.

Answers phones, greets visitors, responds to public inquiries, and directs calls or requests to appropriate staff.

Prepares routine reports, spreadsheets, and departmental forms under the supervision of the Office Manager.

Assists with reviewing bid documents, contracts, permits, and project paperwork to ensure files are complete and organized.

Monitors inventory and supplies and helps support efficient office operations.

Other duties as assigned by the Office Manager.

ESSENTIAL KNOWLEDGE, EXPERIENCE AND ABILITY


Proficiency in standard office technology.

Knowledge of office procedures, recordkeeping practices, and document management standards.

Excellent written and verbal communication skills.

Ability to plan, prioritize, meet deadlines, perform accurate mathematical calculations, and maintain detailed and accurate records.

Ability to follow written and oral instructions, apply departmental policies, and operate a motor vehicle in compliance with traffic laws.

Ability to handle multiple tasks simultaneously, under pressure.

Utilize logic, critical thinking, and sound judgment to analyze, problem solve, and make decisions from information that may be confusing, disjointed, and/or incomplete.

Maintain confidentiality with sensitive information.

ESSENTIAL EDUCATION, CERTIFICATION AND/OR LICENSES


High school diploma or GED. Associate's degree in business, accounting, public administration, or related field preferred. Relevant administrative experience may considered in lieu of degree.

Valid driver's license at the time of hire and maintain throughout the course of employment.
