Job Purpose:
To implement/manage the administrative responsibilities of the Chief Financial Officer, provide direct support to the Chief Financial Officer, Chief Financial Officer Groups and Committees, Administration, and Union Representatives, and assist all staff, students and community members as needed.
Job Duties:
- Oversees and performs a range of diverse administrative activities for the Chief Financial Officer.
- Analyzes routine operating practices and procedures to ensure smooth and efficient office operation.
- Independently handles a wide variety of situations and conflicts involving administrative functions for an executive.
- Serves as central point of liaison with other departments, staff, students, and the public in the resolution of a variety of day-to-day matters concerning the Business Office.
- Represents supervisor through telephone and personal contacts.
- Assesses the urgency and importance of situations and takes appropriate action.
- Ensures, in the supervisor's absence, that requests for action and information are furnished in a timely manner.
- Acts as liaison between supervisor and staff; coordinates special projects.
- Utilizes knowledge and understanding of operational issues to create, compose, and edit correspondence and documentation.
- Composes and types correspondence involving complex and nonroutine matters, then provides the product to the Chief Financial Officer.
- Receives items after Board Meetings for delivery and notification to appropriate parties.
- Knowledge of principles and practices of organization, planning, records management, research and general administration.
- Researches information to keep updated on current procedures and laws.
- Read publications, regulations, and directives and takes action or refers important matters to supervisor.
- Assistance with 403(b) visits
- Assisting with budget preparation
- Contract maintenance
- District communication upkeep (via website or cellular phones)
- District vehicle record keeping
- Employee security card access
- Facility requests
- Organizing staff uniform reimbursements
Skill Requirements:
- Ability to follow oral and written instructions.
- Ability to communicate effectively both verbally and in writing with staff, students and public.
- Good analytical and problemsolving skills.
- Ability to maintain accurate records.
- Ability to identify problems and to propose feasible solutions.
- Ability to work independently.
- Strong organizational skills and the ability to work well under pressure and to meet deadlines, and to work occasional overtime.
- Strong interpersonal skills and the ability to work professionally with persons at all levels.
- Ability to maintain confidential material.
Minimum Qualifications
- Advanced working knowledge of the following Microsoft Office Programs
- Word
- PowerPoint
- Excel
- High School Degree
- Minimum three years experience supporting upper management OR three years office management experience with administrative/supervisory responsibilities.
- Ability to communicate verbally and in writing in English and Spanish strongly preferred.
Job Types:
Full-time, Part-time
Pay:
$45, $52,000.00 per year
Expected hours: 40 per week
