Alumni Affairs and Development (AA&D)

Alumni Affairs and Development is a dedicated team supporting Harvard's advancement activity through front-line fundraising, engaging with alumni and volunteers, leveraging technology, managing prospects, conducting research, optimizing business processes, organizing events, enhancing communications, and various other areas.

  • AA&D consists of the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, the Harvard Alumni Association (HAA), and the Office of the Vice President (OVP).
  • The Development Assistant plays a vital role in the Faculty of Arts and Sciences (FAS) development team. This fulltime nonexempt role supports frontline gift officers in advancing the philanthropic goals of the Faculty of Arts and Sciences.

Position Description

  • The following list details the key responsibilities of the role. However, there may be additional tasks assigned that align with the position's level.
  • Assisting in all aspects of the fundraisers prospect management process, including drafting outreach communications, gathering and maintaining data, scheduling, preparing for meetings, and following up on action items.
  • Developing proficiency in the alumni/donor database to research prospects, organize information, and generate reports.
  • Ensuring regular updates to the alumni/donor database for accurate and timely data entry.
  • Collaborating with gift officers to create high-quality donor briefings for meetings with senior staff.
  • Planning and preparing required materials for meetings and solicitations, and supporting post-meeting follow-up activities by submitting reports.
  • Coordinating travel arrangements, reimbursements, and expenses for gift officers in partnership with the budget office.
  • Managing gift officers' calendars, scheduling meetings, and taking and circulating meeting notes.
  • Providing excellent customer service to internal and external stakeholders, including donors and alumni both locally and internationally.
  • Serving as a knowledge source for policies, protocols, and procedures.
  • Brainstorming innovative approaches to enhance the efficiency and productivity of fundraising efforts.
  • Cultivating relationships and collaborating with other departmental teams such as the University Development Office, Harvard College Fund, Communications, Events, Alumni Development Services, Development Technology Services, and the Harvard Alumni Association.
  • Participating in various team and staff meetings year-round and actively contributing as a team member.
  • Fulfilling any other job-related duties as needed.

Basic Qualifications

  • 12 years of relevant experience, with post-high school education contributing to the experience.
  • Proficiency in Microsoft Office applications
  • Strong writing skills and keen attention to detail
  • Availability to work occasional evening and weekend hours as required

Work Format Details
  • This position allows for 100% remote work. Employees can work from any of the Harvard Registered Payroll States, currently including Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions). Certain visa types and funding sources may restrict work locations. Candidates must meet location sponsorship requirements before employment.

  • Paid Time Off: 3-4 weeks of accrued vacation time annually (3 weeks for support staff, 4 weeks for administrative/professional staff), 12 accrued sick days per year, 12.5 holidays plus a Winter Recess in December/January, 3 personal days annually (prorated based on hire date), and up to 12 weeks of paid parental leave for primary caregivers.
